Summary:
The Fleet & Facilities Coordinator is a Values-based Leader that will contribute to the Maintenance Department in a supervisory position under the direction of the Fleet & Facilities Manager. The Fleet & Facilities Coordinator will champion safety for the department, supervising, coaching and mentoring the Maintenance Technicians. This hands-on Leader will spend 70% of their time in Friedman’s locations working on daily repairs and equipment maintenance. The Fleet & Facilities Coordinator is also responsible to build a team environment, develop individual Team Members, identify opportunities to improve processes to increase efficiency, partner with internal cross-functional partners and vendors, and ensure the needs of internal customers are met in a timely manner.
Essential Duties and Responsibilities:
Leadership
- Build a service culture through in-the-moment coaching, guidance, and staff motivation to ensure consistent delivery of a superior level of service
- Identify opportunities for process improvement to increase efficiency and effectiveness of Maintenance Team
- Build strong cross-functional relationships as a representative of the Maintenance Team with departments throughout the Company
Supervision & Development
- Mentor, coach and train staff on technical, professional, and interpersonal service skills to develop and strengthen the team
- Oversee day-to-day activities of team
- Triage Maintenance Work Orders, determine appropriate work distribution, prepare work schedules, and expedite workflow for Maintenance Team Members
- Collaborate with Fleet & Facilities Manager and Team Members to determine effective and efficient personal development plans, career pathing and motivate Team Members to accomplish work goals
- Assess Maintenance Technicians skills, product knowledge and assign learning or training assignments as necessary
- Responsible for completing performance reviews, performance coaching, feedback, and disciplinary actions for Maintenance Technicians
- Responsible for preparing schedules, timecard approval processes, and attendance management for Maintenance Team Members
- On board and train or arrange appropriate training for all assigned Team Members to ensure proficiency and accuracy of work processes and procedures, customer service, product knowledge and Company policies
- Assign duties and follow up with Maintenance Technicians to ensure timely completeness and accuracy of work and follow up on urgent or difficult issues
- Spot check Technician’s repairs internally and train as needed
- Subject Matter Expert with the ability to teach the proper way to set up, operate and maintain machine tools /equipment such as: grinder, drill, and panel saw, table saw, cutting torch, welding equipment to cut or join metal parts, repair and/or fabricate machine parts, jig, fixtures, and tools, produce materials list, layout, and fabricate various projects out of wood, steel, and other materials using shop equipment
- Administer and/or recertify Heavy Equipment Training, including Manitou and Donkeys for Team Members
Facilities Maintenance
- Schedule and perform routine maintenance of HVAC systems, water systems, generators, fire systems, pest control, solar system, building maintenance as needed for all locations
- Oversee, spot check, and maintain a clean, safe working environment and physical buildings for the Maintenance Department in all locations
- Oversee the removal and maintenance of vegetation on store premises, keeping stores to standard of appearance
- Intermediate level understanding of AC/electrical operation and safety procedures to perform A/C electrical repairs and maintenance
- Oversee the installation, diagnoses, and repairs of D/C or A/C electrical, such as conduits, wiring, and electrical and electronic components of machinery and equipment, electric motors, gas garden equipment, and small engines
- Oversee lay-out, installation, and maintenance of pipe systems and related hydraulic and pneumatic equipment, repairs and replacement of gauges, valves, pressure regulators, and related equipment
- Coordinate repairs with outside vendors
- Responsible for reviewing equipment records are properly documented and retained in accordance with regulations
- Review maintenance invoices and code them with the General Ledger account code to properly bill them to the department when sent from Accounts Payables
Fleet Maintenance
- Partner with manager to purchase Company vehicles and equipment to meet current standardizations
- Oversee Truck Service Calendar and all BIT services and records for the locations
- Partner with Logistics Manager regarding delivery trucks and equipment regarding service and maintenance
- Review truck service calendar for BIT inspections and servicing of delivery trucks, this will ensure we maintain compliance with DOT and FMCSA regulations
- Responsible for overall service and maintenance of Company vehicles within specified time parameters.
Safety & Compliance
- Promote a safety culture within all business channels and store, recognizing, praise, correct safe/unsafe behaviors
- Follow OSHA, EPA, NFPA and local building codes
- Perform and train Lockout/Tagout procedures and equipment safeguards and verify procedures are followed by Maintenance Techs and outside vendors
- Verify PPE is used at all times by all Team Members within all locations
- Maintain and safely dispose of defective and damaged products that become hazardous materials
Qualifications:
- High school diploma or general education degree (GED)
- 3 years of experience Supervising a team
- 5 years related experience and/or training; or equivalent combination of education and experience
- Valid driver’s license and ability to operate vehicles
Knowledge, Skills, and Abilities:
- Strong computer skills with ability to work within multiple systems throughout the work day
- Proficient in Microsoft Outlook, Word, Excel, Teams and OneNote
- Ability to seamlessly navigate a work order system
- Maintains a professional presentation and an ability to work within, and coach/mentor and lead, a team in a collaborative atmosphere
- Innovative thinker with a strong disposition to solve problems, thinking outside the box to complete requests as needed
- Ability to make independent decisions and serve as back up to Fleet & Facilities Manager
- Ability to supervise, teach and train others in a positive manner on the repair of HVAC, electrical, plumbing equipment
- Perform carpentry, repair work, construction, and renovation work
- Use of basic construction materials and light construction equipment, machines, and power tools with ability to train others
- Strong knowledge of preventive maintenance and safe operations of Company vehicles and equipment
- Previous experience and knowledge of proper handling, retention, and disposal procedures in accordance with Globally Harmonized System (GHS), Safety Data Sheets (SDS), State and Federal Guidelines
- Knowledge of hazards associated with the work and proper safety precautions
Main location is based out of the Santa Rosa Friedman’s store, with frequent travel to other FHI locations.
