The Branch Administrator is responsible for providing administrative and operational support to ensure smooth and efficient functioning of the branch. This position plays a vital role in coordinating tasks such as customer service, scheduling, employee coordination, inventory management, and office administration. The Branch Administrator will work closely with management, field crews, and other departments to ensure that daily operations run effectively and that customer satisfaction is maintained at a high level.
Key Responsibilities :
Assist in managing day-to-day office functions, including phone management, emails, and correspondence.
Maintain accurate records of projects, employee hours, inventory, and other essential documents.Prepare reports and presentations for upper management, providing updates on branch operations.Customer Service :Respond to customer inquiries, addressing concerns or directing them to appropriate personnel.
Schedule and coordinate appointments and service calls with customers.Maintain positive relationships with clients, handling requests or service adjustments as needed.Scheduling and Coordination :Assist in the scheduling of field crews and ensure that operations run on time and efficiently.
Coordinate with the crew members, clients, and vendors to ensure proper workflow.Oversee the logistics of material and equipment deliveries, ensuring timely arrival and distribution.Inventory and Supply Management :Monitor inventory levels of tools, materials, and supplies, ensuring sufficient stock for daily operations.
Track and reorder supplies as needed, maintaining cost-effective ordering procedures.Ensure that inventory records are up to date and that all materials are properly accounted for.Financial and Billing Support :Process invoices, purchase orders, and timesheets for billing and payroll.
Assist in the tracking of branch expenses and assist with budget monitoring.Ensure that all financial transactions are properly documented and submitted to the accounting department.Human Resources Assistance :Support the recruitment, onboarding, and training of new employees.
Maintain employee records, including attendance, performance, and compliance documentation.Assist in managing employee schedules and coordinate time-off requests.Health and Safety Compliance :Help ensure that all safety regulations and procedures are being followed on-site and within the branch.
Assist in maintaining safety documentation and training schedules for employees.Track and report any workplace accidents or safety issues in accordance with company policies.Operational Support :Ensure branch facilities are maintained in a clean and organized manner.
Assist with any special projects or company initiatives as assigned.Provide logistical support during seasonal surges or high-demand periods.Qualifications :
High school diploma or equivalent; additional education in business administration, management, or related fields is a plus.Previous experience in an administrative role, preferably in the landscape or construction industry.Strong organizational, multitasking, and time-management skills.Proficient in Microsoft Office Suite (Excel, Word, Outlook, etc.) and other office software.Excellent communication and interpersonal skills.Ability to work independently and as part of a team.Knowledge of landscaping industry processes and terminology is a plus.Familiarity with inventory management, invoicing, and basic financial reporting.A commitment to safety standards and environmental regulations.Work Environment :
Office environment with occasional visits to job sites.Occasional physical tasks may include lifting supplies or materials.Flexibility to work in a fast-paced environment, especially during peak seasons.
