The Role :
As a Workspace & Executive Support Manager, you will play a critical role in ensuring the smooth operation of our offices and supporting our executive team. You will be responsible for overseeing facilities management, providing executive support, and managing various operational tasks.
What You'll Do :
Oversee the day-to-day operations of all Frontera office spaces, ensuring cleanliness, organization, and functionality.
Manage maintenance requests, vendor relationships, and building compliance across locations.Ensure each space provides a welcoming and professional environment for staff, clients, and visitors.Monitor technology and equipment needs, ensuring resources are functional and readily available.Evaluate and implement process improvements to enhance efficiency and support growth.Develop and document best practices for facilities and workspace management.Executive Support :Coordinate appointments, meetings, and communications to ensure smooth daily operations.
Manage scheduling of rooms, equipment, and shared resources across offices.Assist staff with internal tools and technology to support efficient workflows.Maintain office supply inventory and manage procurement processes.Serve as a point of contact for staff, providing guidance and support for operational needs.Foster a welcoming atmosphere for clients and families, ensuring a smooth check-in / check-out experience at the Innovation Center.Partner closely with clinical and administrative leads to align workspace operations with organizational goals.The Ideal Candidate :
Bachelor's degree in a relevant field (e.g., business administration, operations management) or equivalent experienceAt least 2 years of experience in facilities or office management, operations, or related rolesAt least 5 years in an Executive Assistant or related roleStrong organizational, time management, and multitasking abilitiesExcellent communication and interpersonal skillsProficient in Google Workspace (Docs, Sheets, Calendar)Strong attention to detail and commitment to accuracyPositive, professional demeanor with a focus on customer serviceExperience with project management or event coordination is preferredFamiliarity with ABA practices or healthcare settings is a plusWhy Frontera Health?
