Position Summary:
As a Travel Consultant in our Africa Department, you will work daily with the Department Head and other team members on the sales efforts for Africa. We will help you to become an expert in African luxury travel, and you will coordinate and oversee the process of client reservations from initial inquiry through travel and return home, managing multiple trips at once, with a very keen eye to detail.
Responsibilities:
· Client Inquiries and Proposal Preparation: Participate in the discovery process to understand client needs, tailoring proposals to their specific preferences and qualifications. Prepare accurate and polished documents, reports, and client-facing proposals to meet the company’s and client’s high standards.
· Comprehensive Client Management: Oversee all aspects of client reservations, from booking inception and travel arrangements to invoicing schedules and final documentation. Ensure accurate record-keeping of client information, bookings, and financial transactions, maintaining data integrity, confidentiality, and a seamless service experience.
· Communication and Stakeholder Coordination: Serve as the primary liaison between clients, vendors, suppliers, and internal teams to ensure timely and efficient service delivery. Provide exceptional customer support via phone and email, promptly addressing questions and concerns.
· Problem-Solving and Logistics Management: Anticipate potential issues from the traveler’s perspective and resolve logistical challenges efficiently. Proactively identify and address risks to ensure smooth travel experiences.
· Collaboration and Reporting: Work effectively both independently and within a team, collaborating with colleagues and updating the Department Head on traveler status, trip progress, and other critical updates.
· Partnership and Vendor Relations: Develop and maintain strong relationships with suppliers, lodge owners, managers, and other partners, particularly in Africa, ensuring collaboration aligns with company goals and standards.
· Company Support: Assist the marketing team with Africa-related campaigns and initiatives, including content creation, outreach, and deadline management, under the guidance of the Department Head. Potentially assist other departments depending on workload.
Qualifications:
Required:
- Minimum 4 years’ experience in travel, business, or relevant Africa specific experience.
- Exceptional Attention to Detail: Meticulous approach to all tasks, with the ability to identify and correct errors quickly.
- Multitasking and Organizational Skills: Proven ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines in a fast-paced environment.
- Communication and Interpersonal Skills: Strong written and verbal communication skills, with the ability to interact professionally with clients, colleagues, and external partners.
- Above-Average Computer Skills: Proficiency in Microsoft Office Suite (Word, Excel, Teams, Outlook) is essential.
Preferred:
- Africa Knowledge: Knowledge ofgeography, activities in Africa including safaris, and market trends.
- Personal Africa Travel Experience, specifically in South Africa, Kenya, Tanzania, Rwanda, Botswana, Zambia, Zimbabwe, Namibia, and/or the Indian Ocean Islands.
- Familiarity with global destinations: We operate worldwide, and geographical knowledge of our destinations will be helpful.
- Post High-School Education: Associate degree or higher.
Travel
- Travel opportunities may present themselves over the course of employment and may occasionally be required as part of continued training but are not a frequently recurring aspect of this position.
Working Conditions:
- Requires a 40-hour (5 day/8 hours a day) week.
- Work is mostly stationary, at a desk/ workstation.
- Overtime may be offered during peak processing and travel periods. The need for overtime will be evaluated and approved by the Department Head.
