What are the responsibilities and job description for the Assistant, Purchasing position at Fruit Growers Supply?
The Purchasing Assistant is responsible for incoming shipments by receiving, inspecting, verifying contents, ensuring proper storage and distribution, recording in SAP, and coordinating with accounting.
Essential Job functions/ Duties:
- Follow safety procedures and company policies for handling materials.
- Receive and inspect incoming shipments for accuracy and damage.
- Input received items into SAP and update inventory records.
- Allocate correct department cost centers and general ledger account numbers to Purchase Orders
- Label and store materials in designated locations.
- Deliver received packages and parts to the appropriate departments or personnel.
- Maintain accurate records of incoming shipments and ensure proper documentation is complete
- Assist with preparing month-end inventory reports
- Assist in organizing and maintaining inventory areas.
- Assist in maintaining inventory levels for repair/maintenance items
- Collaborate with MRO Buyer and warehouse teams to resolve discrepancies.
- Notify the Accounting department of received shipments to process payments
- Serve as point of contact for corporate office Accounting Department inquiries
- Address vendor questions or credit memos on operational expenses
- Other duties as assigned by Manager/Supervisor
Minimum Qualifications (Education, Certifications/Licenses, and Experience:
- One to Three years of experience in accounting and receiving.
- Corrugated industry experience a plus.
- High School or GED minimum
- 2-year associate degree in accounting or related field preferred.
- Valid driver’s license required.
- Previous experience in accounting, receiving, or warehouse operations preferred.
- Familiarity with SAP or similar inventory management software preferred.
- Must be proficient in MS Office, Word, Excel, PowerPoint and Outlook; ability to operate standard office equipment
- Strong attention to detail and accuracy in data entry.
- Strong communication skills for coordinating with different departments, including Accounting.
- Flexibility in schedule to accommodate back shift shipments
- Works an 8-hour shift, Monday through Friday, with occasional weekend availability required.
- While performing the duties of this job, the employee is continuously exposed to moving
- Work may include extended periods of time viewing a computer monitor and operating a keyboard.
