Please note this job is anticipated to be a temporary assignment from January - March / April 2025.
The Accounts Payable Specialist initiates, coordinates, and executes administrative support to the Finance Department and is responsible for monitoring the outflow of capital for the company.
Key Responsibilities
- Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records
- Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies
- Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed
- Assists with accounting records and ledgers by reconciling monthly statements and transactions
- Records entry of, verifies documentation for, and distributes petty cash
- Conducts research on payment discrepancies on accounts
- Calculates and reports sales tax based on paid invoices
- Receives, researches, and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons
- Files, maintains, and distributes accounting documents, records, and reports
- Prepares reports
- Assists with special projects
- Assists in development and implementation of department systems and procedures as needed
- Performs general clerical duties including but not limited to answering phones, filing, photocopying, faxing, and mailing
- Perform other related duties as assigned by management
Supervisory Responsibilities : This position has no supervisory responsibility.
