*Overview*
The Facilities Coordinator will assist the Operations Manager with coordinating, scheduling, communicating and documenting maintenance projects and assignments.
*Duties*
Relationships
- Establish and maintain strong and positive relationships with all clients, vendors, contractors, and internal teammates.
- Act as an interface with clients, visitors, and guests. Work collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation
- Demonstrate leadership, responsiveness, and creativity in finding solutions for varied service requests.
Compliance/Insurance
- Read and understand the applicable Service Level Agreements. Help to achieve the Key Performance Indicators and ensure contract compliance.
- Collect and review vendor insurance, track expiration dates, request renewals, and ensure compliance with standard coverage terms and conditions.
- Collects emergency contact information, and manage transition of accounts.
Vendors
- Research new vendors for maintenance services, special projects, and emergency needs. Presents recommendations to the internal team and negotiates contracted services.
- Oversee facilities/grounds vendors and contracts.
- Schedule vendor services. Ensure vendors are performing to contract terms.
- Review and process vendor invoices. Provide means to correct performance deficiencies and errors in billing as needed.
Financial
- Process vendor invoices for payment and track all associated job costs for work orders and construction.
- Purchasing as necessary.
- Adhere to budget and exercise prudent fiscal behavior and follow expenditure procedures
Operations
- Maintain property emergency information and client files (CRM).
- Assist with receiving and scheduling work requests/maintenance activities with technical staff, vendors, landlords, or other service providers.
- Perform or delegate routine maintenance tasks and special projects.
- Coordinate with vendors, facilities staff, and service providers as required to ensure excellent execution of work within the client environment with minimal disruption, as needed
- Ensure appropriate follow-up with customers
- Recommend continuous quality improvement practices
- Ensure all site management and operations practices comply with company, (MSA) Master Service Agreement requirements, and client standards
- Communicate/Escalate with appropriate parties (client, vendors, etc.) as needed
- Secure bids for ongoing building maintenance, prepare service contracts, coordinate work, track progress and report status to clients.
- Plan and oversee daily, weekly, monthly, quarterly, and annual facilities and grounds maintenance schedules.
- Review security reports and coordinate follow-up as necessary.
- Assist in resolving problems associated with all building services including janitorial, interior and exterior maintenance.
- Assist in completing regular inspections of properties and make the necessary recommendations.
- Other duties as assigned.
*Qualifications and Requirements*
- Eye for detail as related to the care and maintenance of all facilities and grounds, including but not limited to restrooms, floors, windows, lighting, carpeted surfaces, walls and baseboards, staff kitchen, performances of mechanical systems and exterior landscaping.
- Superior customer service skills and problem-solving abilities
- Ability to plan and manage work under time constraints and meet deadlines
- Ability to multitask and work without direct supervision
- Proficient in MS Office products, possess strong written, verbal, and people skills
- Strong organizational skills and a collaborative style are needed

- Must be able to lift up to 50 lbs occasionally.
- General knowledge of maintenance industries and trades
- Facility management or maintenance experience (preferred)
Requires valid driver's license and verification of safe driving record from DMV.
