What are the responsibilities and job description for the Work Order Administrator position at FTS Inc?
One of our great partners in Syracuse, NY is looking for their next Work Order Administrator!
This position works fully onsite for 37.5 hours per week. After a successful contract period/first 6 months, the individual will be considered for the company's 2 remote days per week benefit!
What You'll Do
- Handle and oversee maintenance requests from operations, and assign work orders to appropriate technicians or external vendors.
- Maintain a "customer service" approach and attitude by communicating effectively between staff, technicians, vendors, and the Facilities, Maintenance & Operations department.
- Document all interactions in the company system.
- Monitor repair timelines, follow up on delays, and coordinate ETAs with technicians or vendors.
- Review work orders to identify duplicates, repeated requests, and warranty options, optimizing cost savings.
- Escalate unresolved issues that don't meet service level agreements.
- Log all service calls, maintenance requests, and work orders in the system, tracking inventory usage for site-specific repairs.
- Organize daily schedules for service technicians.
- Coordinate with vendors for required supplies and materials, and communicate updates to relevant stakeholders.
- Assist the supervisor with sourcing and submitting regional contractor bids.
What You Bring
- Minimum 2 years of experience with customer service and data entry
- Minimum 2 years of liaising with internal employees/departments and external parties such as vendors
- Proven track record of taking initiative, following up on tasks, and having a sense of urgency
- Strong attention to detail and organizational skills
- Excellent communication skills, both written and verbal
- High School Diploma or GED
- Ability to clear a background check
- Ability to provide 2 professional references
