JOB SUMMARY
MINIMUM REQUIREMENTS
The Administrative Assistant – Warehouse position entails the ordering, scheduling and tracking of scheduled inbound purchase orders. Streamline and reconcile the receiving documentation process daily. Assist Inventory Control Specialist (Cycle Counter) with daily reconciliation and system documentation. Support the Sorting Dept. with tracking and reporting daily inventory and disposals. Support FujiSan Dept. to avoid delays in production and posting. Support Warehouse Management in all aspects of administrative duties pertaining to the Department—reports directly to Warehouse Management Team.
Education:
- High School Diploma or GED equivalent required.
- Bachelor's Degree Preferred.
Training & Experience:
- Working knowledge of Outlook, Word, and Excel.
- Bilingual English and Spanish helpful.
- Prefer prior experience with MRP/ERP programs.
ESSENTIAL DUTIES & RESPONSIBILITIES
Will work independently and/or with all Warehouse Personnel to:
1. Assure all Purchase Orders are reconciled prior to receiving in to the system.
2. Reconcile all PO’s daily prior to forwarding documents to Accounting.
3. Prepare 3PL inbound and outbound orders and schedule appointments accordingly.
4. Coordinate with Logistics Team to schedule all incoming PO’s.
5. Provide support to FujiSan Dept.
6. Reconcile 3PL inventory 2 times a week.
7. Research and correct out of balance inventory. System on hand vs. physical on hand.
8. Communicate Sorting inventory and disposal.
9. Accurately accounts for all raw materials that go into production.
10. Monitor Cycle count of Top 100 items based on dollar value on a weekly basis. Determine cause of any Inventory discrepancies.
11. Assist Inventory Control Specialist with Investigating raw materials variances with production and warehouse leads and supervisors as needed.
12. Tracks extra material requests and reports them to the management team.
13. Work with the QA department to ensure that disposition and disposal of material On-Hold.
14. Scan and file documentation as needed.
15. Participate in companywide Physical Inventory counts.
16. Maintain an organized and clean work environment.
May also act as back-up to one or more of the duties below when covering for vacations, etc:
a) Provide Leadership and Supervision when Warehouse Management is not available.
b) Schedule truck appointments for delivery and pickup to support Logistics Team.
c) Monitor methods and procedures throughout the warehouse for accurate inventory reporting.
d) Support and assure inventory is reconciled daily with Inventory Control Specialist.
e) Support and Maintain all Management implemented processes.
OTHER DUTIES & RESPONSIBILITIES:
Perform other duties as directed by management.

Pay: $19.00 - $21.00 per hour
