Fulcrum Environmental Consulting, Inc. is seeking a Project Coordinator to join our firm! This position includes both project coordination and general office support and is critical to the efficient operations of our offices, projects, and our team. The current responsibilities include approximately:
- 40% Project related work
- 30% General office responsibilities
- 20% Marketing related work
- 10% Everything else
The ideal candidate will be detail oriented, organized, customer service focused, and internally motivated. This position will provide solid structure to the office and requires someone who is willing to tackle whatever the day brings. We are seeking candidates with a team player mentality, confidence in your abilities, and a positive attitude. The successful candidate will be a clear and purposeful communicator.
This position will be located in our Yakima, Washington office and is considered full-time with a typical schedule of 8 am to 5 pm, Monday through Friday. The position will be in-office and not remote.
Some of the Key Responsibilities of the Project Coordinator:
- Manage front-office phone, office supplies, mailings, deliveries, and staff communications.
- Process timesheets and expense reports to ensure accurate payroll processing and expense reimbursement.
- Create invoice summaries for ease of billing and prompt payments.
- Collate invoicing backup and assist with invoice delivery.
- Actively contact clients about outstanding invoices to minimize late payments.
- Record and deposit payments, including credit card payments, to maintain cash flow.
- Review and submit staff receipts and vendor invoices to A/P staff.
- Verify and audit spreadsheet data to ensure the accuracy of financial data.
- Request certificates of insurance from clients to mitigate business risks.
- Review contracts, letters, and reports to ensure clarity, readability, and grammatical accuracy.
- Facilitate formatting/grammatical reviews and prepare graphical presentations.
- Support marketing efforts to celebrate the successes of our staff, clients and project partners.
- Attend staff and project meetings to stay informed on the status of projects and staff assignments.
- Other duties as assigned.
- Everything else - you’ll help fill in this category with your own skills and interest.
What the Successful Project Coordinator will have:
- Bachelor’s degree preferred or equivalent experience of 4 years in business administration, communications, marketing or related field.
- Experience using CRM systems.
- Experience with Deltek Vision ERP or other project-based accounting software a plus.
- Intermediate to advanced skills in Microsoft Office 365.
- Extensive experience with Excel and Word.
- Strong organizational skills.
- Attention to detail, good writing, and editing skills.
- Good problem-solving and analytical skills.
- Ability to prioritize, handle multiple tasks, and meet deadlines as necessary.
- Excellent communication and interpersonal skills.
- Ability to work well with others and collaborate with a team.
- Experience supporting marketing efforts utilizing various channels such as social media preferred but not required.
