Charleston area CPA firm seeking an experienced Administrative Assistant to join their team!

QUALIFICATIONS :

  • 2-3 years of administrative experience in fast-paced, professional environment
  • Naturally able to juggle many priorities at once and adjust to time sensitive asks
  • Extremely detail-oriented, takes pride in being thorough and accurate
  • Able to adapt to and thrive in an agile and dynamic work environment
  • Seasoned at conducting client and lead intake, and arranging follow up tasks and meetings with the appropriate team member
  • Natural relationship-builder with executives, team members and clients
  • Effective communicator both written and verbal, can adapt tone and message based on audience type and topic
  • Solution-oriented, autonomous and pro-active at investigating and implementing the best resolution
  • Uses sound judgment to balance priorities effectively and meet deadlines
  • Comfortable escalating issues and operating effectively in times of time-sensitive deadlines, ambiguity or uncertainty
  • Able to work in-office 4-5 days per week and be the face for local visitors. Must live in Charleston metro area and be within commutable distance from the office.
  • Proficient in MS Suite (Excel, PowerPoint, SharePoint, Outlook), and adept at learning new systems like Bill.com, ClickUp and TaxDome.
  • Maintains utmost confidentiality and professionalism.
  • Experience or interest in the financial services and account function is a plus. Previous experience in client facing start up is a plus.

JOB RESPONSIBILITIES

  • Manage and prioritize executives’ calendars as needed, to enable a balance between client-facing time and production time, especially in peak deliverable periods like Tax Season
  • Supports client meeting scheduling, coordination, material preparation as needed, capturing follow up action items, and follow-up as needed
  • Responsible for the efficient and timely processing and approval of vendor invoices (receive, process and payment) and collecting outstanding client receivables.
  • Coordinate marketing support items (may include holiday gifts, birthday cards, newsletters, etc.).
  • Coordinate special projects, as needed (may include but not be limited to social media, new system implementation, file organization & digitization, database creation and cleaning, etc.)
  • Monitor, organize, and, where applicable, action executives’ email
  • Maintain accurate client database and distribution lists
  • Interact with team members across departments and geographies to coordinate tasks and meetings as needed
  • Maintain departments’ SharePoint site.
  • Consistently represent the firm’s mission and core values to all clients, team members and in public settings.
