Summary of Position
The Materials Management Specialist has a broad range of responsibilities for managing the needs of CLIA Laboratory Operations including receiving, inventory management, forecasting materials needs, stocking laboratory, and assistance with cost analysis. The specialist will be responsible for maintaining inventory, ensuring stock levels are appropriate for operations, placing items into stock, and resolving delivery issues with vendors as needed. The specialist will work closely with other groups within the company to ensure appropriate financial records are maintained and protocols are followed.
Key Job Elements
- Assist in optimizing CLIA materials management program, working with Laboratory Management, Quality Assurance, Procurement and Finance to ensure appropriate inventory is recorded, maintained, and delivered accurately and timely.
- Utilize box scanners and computer-based inventory system to manage the chain of custody process for a high volume of deliverables daily; learn new computer systems as required to increase efficiencies through the use of new technologies.
- Champion continuous improvement and waste elimination for the receiving and warehousing function; improve upon existing processes to ensure chain of custody for time-sensitive materials and improve overall operational efficiencies.
- Maintain an adequate stock of supplies required by the laboratory.
- Interact with vendors to ensure stock is delivered in a timely manner, escalating as needed.
- Receive materials into the supply room and complete necessary documentation.
- Maintain materials (through receipt, removal and transfers as required) within the Enterprise.
- Resource Planning (ERP) system; and perform audits as necessary.
- Accurately manage and track laboratory inventory with regard to expiration dates to reduce the chance of loss of inventory due to expiration of materials
- Coordinate laboratory chemical waste with the waste vendor and safety officer.
- Perform accurate and timely weekly, monthly, quarterly, and annual physical audits of inventory to maintain proper documentation of in-house supplies.
- Ensures compliance with all local, federal, and CAP regulations.
Knowledge/Experience
- High school diploma or equivalent required; degree in Warehouse Management or Engineering or Business (Operations or Supply Chain Management) preferred.
- One year of materials management experience required; prior laboratory or chemicals experience preferred.
- Demonstrated knowledge of receiving, shipping, and warehouse processes for time-sensitive materials.
- Ability to multitask and prioritize work tasks with minimal supervision.
- Ability to quickly learn and acclimate to the implementation of new processes, systems, and tools.
- Ability to plan and enact contingencies when orders are unfulfilled.
- Excellent interpersonal, verbal, and written communication skills.
- Must have strong organization and analytical skills and maintain a high level of personal accountability.
- Must maintain a professional demeanor in interactions with physicians, internal personnel, and third-party vendors.
- Ability to multitask and work in a fast-paced, deadline-driven environment.
- Must have consistency in attendance and punctuality.
- Willingness to work shift work and overtime is required.
- Proficient in Microsoft Office Suite, specifically Word, Excel, PowerPoint, Outlook, and general working knowledge of the Internet for business use.
