Overview
The Law Firm Assistant will play a vital role in ensuring the smooth functioning of a new (planning to open May 1) single-attorney law firm that focuses on family law matters in Central Illinois. The firm seeks to provide very high-quality legal services to a limited number of family law clients, while promoting a positive work environment and work-life balance for all who work there.
The ideal candidate would be responsible, personable, energetic, and flexible to the firm's needs of the day, whether they are in the form of administrative (front desk, bookkeeping assistance, file management, scheduling, general office organization) or substantive case work (drafting and processing basic correspondence, assisting with discovery compliance efforts, assisting in meeting case deadlines and in facilitating positive and productive contact with clientele).
Responsibilities
- Handle incoming calls and scheduling at front desk while in-office.
- Assist the firm's Paralegal in maintaining timely compliance with case deadlines via document organization, processing, drafting and review.
- Enter attorney and paralegal time into the firm billing software.
- Ensure office has the physical supplies needed on routine basis to carry out primary work tasks
- Spot, raise, and address issues, gaps and delays within the general administrative needs of the firm and the substantive casework of the firm via increasing familiarity with the firm operations and clientele.
- Monitor client account statuses and assist in contacting clients regarding fee payment expectations.
- Manage case files using software to ensure all documents are up-to-date and accessible.
- Collaborate with attorney and paralegal on project management tasks to ensure deadlines are met.
- Maintain confidentiality of all client information and adhere to ethical guidelines.
Qualifications
- Proficiency in verbal and written English communication;
- Basic proficiency with Microsoft Office applications;
- Reliable transportation for day-to-day local travel as-needed;
- Desire to assist people navigating family law issues;
- Availability to EITHER open the law office for business at 8:30am or close it at 4:30pm on each weekday (it is acceptable if the Law Firm Assistant opens the office at 8:30 on some days and closes it at 4:30 some days within any given week, so long as they are doing one or the other each weekday)
