Position Summary:
This role supports the daily functions of HR, licensing, compliance, and general administrative tasks. Ideal for a self-starter who enjoys structure and variety, the coordinator will be a go-to resource for onboarding, benefits, company records, and internal culture.
Key Responsibilities:
- Manage all HR-related tasks including onboarding, offboarding, employee file maintenance, and policy compliance
- Maintain and update the company HR portal and employee records
- Administer benefits enrollment, assist with annual renewals, and act as the liaison for benefits-related inquiries
- File and manage Workers’ Compensation First Reports of Injury and coordinate follow-up with providers and employees
- Handle unemployment claims and complete necessary documentation through the unemployment portal
- Process and maintain child support documentation and other employment-related deductions
- Maintain and ensure employee acknowledgment of the company employee handbook and policies; assist with updates and distribution
- Track and manage all employee licenses including journeyman certifications and driver eligibility
- Ensure timely renewal of all business licenses and company compliance records
- Track, request, and update Certificates of Insurance (COIs) for the company and subcontractors
- Maintain vendor portals including uploading W-9s, insurance documents, and compliance forms
- Coordinate insurance renewals (general liability, vehicle, workers’ comp)
- Manage uniform inventory, ordering, and distribution
- Track and distribute key fobs, tool chips, gas codes, and other employee access tools
- Order and maintain office supply inventory
- Prepare and send employee agreements, contracts, and compliance documentation
- Oversee postage and shipping, including returns and supply stock
- Assist with planning and coordinating team lunches, staff parties, and company events
- Provide general administrative support including filing, scheduling, document tracking, and communication
- Maintain internal calendars and track document expiration dates
- Assist with employee onboarding setup including system access, tools, and orientation
Qualifications:
- 2 years of HR, compliance, or administrative experience required
- Familiarity with HR software, employee benefits, and labor law basics preferred
- Excellent attention to detail, time management, and follow-through
- Comfortable working with sensitive/confidential data
- Strong communication and organizational skills
- Tech-savvy and confident using spreadsheets, email, and online portals
