Functional Beauty is a boutique medical spa with (2) locations within Ventura County, CA. We are looking for an outstanding full-time Patient Coordinator to join our team. Our team prides ourselves on creating an exceptional patient experience and the right candidate will add value to the already positive and high energy environment. The Patient Coordinator will be responsible for ensuring every client receives the “Functional Beauty Experience” by providing exceptional service, while effectively maintaining all front desk procedures. The Patient Coordinator will greet patients, manage the patient experience from check-in to check-out, text messages, answer phone calls, schedule and confirm appointments, manage in-clinic patient flow, address patient questions, setting up/cleaning exam rooms for providers and helping assist providers with patient treatments. This position also involves sales, in collaboration with medical providers conducting patient consultations, to deliver the best products and services to meet patient needs and deliver the desired outcome. This is a vital role in the company as this person represents the “face and brand” of the practice. Bilingual is a must.

Job Duties, Responsibilities and Capabilities

  • Greet patients with a smile and enthusiasm
  • Answer phone, text messages, and emails
  • Schedule patients
  • Ensuring the completion of all necessary intake forms and consents
  • Have full knowledge of Functional Beauty products/services and have the ability to answer patient questions
  • Check patients in and out
  • Responsible for accurate invoicing and payment collection
  • Manage patient leads, and convert into appointments and sales
  • Confirm upcoming patient appointments daily
  • Educate patients on pre and post treatment instructions
  • Create daily reports for management
  • Create daily payment collection reports and review merchant account reports to assure accuracy; resolve discrepancies
  • Assist providers and staff with patient flow support
  • Assist with treatment room turnover and setup, as needed
  • Maintain cleanliness of front desk and reception area
  • Offer patients refreshments
  • Responsible for washing refreshment drinkware/dishes
  • Responsible for ensuring restroom cleanliness
  • Maintain professional appearance
  • Maintain patient confidentiality, including HIPAA and practice specific compliance guidelines
  • Ship and receive packages
  • Opening and closing duties

Qualifications

  • Minimum 2 years experience working in an aesthetic or dermatology practice or equivalent required
  • High School diploma or equivalent
  • Documented sales abilities, ability to meet/exceed sales goals
  • Excellent customer service
  • Excellent follow-through and follow-up
  • Demonstrated computer literacy including use of office Electronic Medical Record (EMR)
  • Possess excellent communication, organization, and problem-solving skills
  • Ability to work in a fast-paced environment and handle stressful conditions
  • Ability to learn products and services quickly
  • Excellent phone, text message, and email skills
  • Ability to deal with difficult/unhappy patients
  • Ability to prioritize and handle a variety of tasks simultaneously
  • Ability to work with frequent interruptions
  • Possess a friendly, can-do attitude
  • Be a team player
  • Bilingual (Spanish/English) REQUIRED !!!

Job Type: Full-time

Pay: $18.00 - $24.00 per hour

Expected hours: 30 – 35 per week
