We are looking for an Administrative Assistant to coordinate various meetings with Futaba North America’s (FNA) headquarters, other entities, and Futaba’s corporate office in Japan. This position must possess a high level of Japanese and English language skills to coordinate and document these meetings. This role will provide clerical, administrative, and other support services to several departments. This position is entrusted to manage sensitive and/or confidential information and decisions. This position will be based at our headquarters office located in Bloomingdale, IL.
Major responsibilities are as follows:
· Create and distribute the annual schedule of various meetings with FTB parent company in Japan, FNA headquarters team members, and other entities.
· Coordinate and schedule all meetings.
· Arrange for breakfast, lunches, and snacks and make restaurant reservations for meeting attendees.
· Prepare and record relevant meetings.
· Function as an interpreter and translator for FNA headquarters Board of Directors Meetings.
· Prepare corporate resolutions and attain signature when resolutions are required by Board of Directors and Shareholder meetings.
· Process purchase requisitions from other entities.
· Accumulate and prepare requested documents for business property, general liability, and workers’ compensation insurance renewals.
· Coordinate and prepare information requested for insurance audits and review the documents with the auditor.
· Assist with making travel arrangements including air travel, rental cars, hotels, and booking meeting rooms.
· Respond to and resolve administrative inquiries and concerns.
· Maintain related business documents, files, and database systems.
· Provide assistance and support to other departments as needed.
· Perform other duties and projects as assigned.
· Maintain confidentiality of sensitive information.
· Maintain professional skills in technical knowledge and relevant products, services, and other developments.
· Comply with company policies and procedures and safety and housekeeping requirements.

The ideal candidate will have 3 or more years of experience in administrative assistant positions or similar roles. Must have excellent time management, organizational, and written and verbal communication skills.
An Associate’s degree or higher is required.
Computer proficiency in MS Office (Word, Excel, PowerPoint, and Outlook) and database systems is required.
Ability to speak, read, and write English and Japanese fluently is essential. Must be able to interpret these two languages at a high business level for Board of Director meetings.
The salary range is $50,000 - $60,000 per year depending on knowledge, skills, and abilities.
