FUTREND TECHNOLOGY has an opening for a highly motivated Adminisrative Assistant supporting the Office of Global Affairs to join our team of professionals supporting our Federal Government customer in Washington DC. The Executive Assistant is a high-visibility position with day-to-day interaction with senior staff. This professional will provide international operations, administrative, travel, and research support to our customer and support other government staff as needed. We are seeking individuals with strong customer service experience, extensive executive-level support experience, (experience supporting the Federal Government and experience in the health industry are pluses), as well as candidates who enjoy and look forward to the types of office support responsibilities outlined as key responsibilities and job duties.

INTRODUCTION:
The Office of Global Affairs (OGA) supports and helps guide a major Federal Agency in international matters. The EA/OGA supports the Secretary and Leadership by providing direction across the Department’s three strategic goals in global health: protecting and promoting the health of Americans;
DUTIES AND RESPONSIBILITIES:
The individual will be a key assistant to the Director, responsible for managing on behalf of the Director and under the guidance of the Chief of Staff, varied programmatic and administrative, sometimes conflicting and time consuming, managerial and administrative tasks attendant to their responsibilities. The officer serves as liaison with key persons within and outside HHS by gathering and transmitting information and instructions; ascertaining the progress of work activities; expediting the completion of assignments and assisting in a variety of analytical and administrative projects related to the needs of the Director and other staff members.
Specific responsibilities include:
  • Reviews, analyzes and processes a variety of communications and other work products to assure completeness, accuracy and adherence to instructions or other protocols, including a variety of high priority or sensitive correspondence requiring higher level clearance/approval.
  • Prepares a variety of documents such as memos, reports, briefing materials, etc., in final form, including drafting, editing, proofreading, and formatting.
  • Serves as liaison to the Office of the Secretary staff on correspondence and other program activity. Assists in processing and tracking office correspondence, memos and reports.
  • Serves as office manager to provide direct oversight and coordination of the array of clerical and administrative support practices and procedures necessary for the smooth operation of the overall office and for appropriate support to the Director.
  • Works independently with a high degree of tact and diplomacy to carry out special assignments requiring comprehensive knowledge of OGA’s mission.
  • Oversee and ensure that projects, meetings and conferences are effectively coordinated both internally through OGA staff and externally with other partners.
  • Independently arranges and coordinates Secretarial trips oversees and visits of high-level officials to the Department, particularly Ministers of Health.
  • Organize widely-attended high-level meetings and conferences.
  • Assists in ensuring overall coordination of efforts within the Office and keeps apprised of staff assignments in order to serve as central repository of information on ongoing activities within the Office.
  • Serves as a team lead to support staff.
  • Assisting other components of OGA as needed.
EXPERIENCE:
  • We are looking for motivated individuals who have interest and experience in the global health arena.
  • Candidates should have strong writing, editing, and analytical skills.
  • Candidates should be comfortable working in a fast-paced, high-visibility setting.
  • Candidate should have strong proficiency with MS Office Suite
  • Education: BS Degree in Business/Health or related field of study.
