We are in search of a Purchasing Specialist for our Corporate office located in Council Bluffs, IA. The ideal candidate will be someone who is customer focused, very responsive, action oriented, and has experience in all clerical functions including various Microsoft Office programs. This role is customer facing which requires the candidate to have a high level of professionalism in how they handle client and vendor interactions.
KEY RESPONSIBILITIES:
· Maintain a positive and respectful work environment with co-workers, customers, vendors, and managers.
· Create, maintain and reconcile purchase orders and verify receipt of items while working within a larger, fast paced team environment.
· Responsible for working in Quick Books to create Purchase Orders for various departments.
· Submitting the orders to a variety of vendors.
· Developing and maintaining vendor relations.
· Maintaining product pricing and tracking the completion of orders generated within our software system
· Responsible for responding to incoming/outgoing phone calls, pre-and post-delivery calls, and emails.
· Responsible for entering orders, calculating charges, preparing paperwork, process payments, making changes to orders, resolving complaints, and maintaining detailed records of actions taken.
· Perform functions for inventory, order scheduling and order reporting.
· Organize files in chronological, alphabetical, and numerical order.
· Responsible for learning procedural, policy, and system enhancements and adapting to changes as they occur.
- Responsible for quality assurance/audit of work duties.
- Responsible for orderliness and housekeeping in work area.
- Additional duties as assigned.
JOB REQUIREMENTS
· High school diploma/GED or equivalent on the job training.
· 2 years’ experience in an office role.
· Associate/bachelor’s degree is a plus.
· Proficient in Microsoft Office (Word, Excel, Outlook, and Access).
· Able to learn new software.
· Knowledge and/or experience with QuickBooks is a plus.
· Must be able to work and cooperate as part of a team.
· Excellent verbal and written communications skills.
· Excellent interpersonal skills.
· Strong analytical skills to extract data, draw conclusions, and work strategically with other departments.
· Ability to work in an environment with rapidly changing priorities.
· Ability to organize a daily workload by priorities.
· Ability to multi task and meet deadlines
