Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Administrative Assistant at our childcare facility. In this role, you will be responsible for providing administrative support to staff, managing phone systems, and ensuring smooth office operations. The ideal candidate will have excellent communication skills and the ability to multitask effectively. This candiate must also have a strong understanding of childcare minimum standards
Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer phone calls, take messages, and direct calls to the appropriate person
- Provide general administrative support such as data entry, filing, and organizing documents
- Assist with scheduling appointments and maintaining calendars
-Assist with billing and invoicing process
- Coordinate meetings and conference room bookings
- Communicate effectively with parents, staff and vendors
- Maintain accurate records of children and staff members
- Support office management by ordering supplies and maintaining inventory
- Act as a personal assistant to the Director/ Owner when required
- Ensure compliance with childcare minimum standards and regulations
Requirements:
- High school diploma or equivalent; additional certification in office administration is a plus
- Proven experience in an administrative role or similar position
- Proficient in using Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Familiarity with phone systems and ability to handle multiple calls simultaneously
- Experience with data entry and maintaining accurate records
- Ability to work independently and as part of a team
- Previous experience in a childcare facility as an administrative role is a plus
- At least 5 years of administartive experience
- Ability to work independently and as part of a team
