PURCHASING SPECIALIST
Summary/Objectives
The Purchasing Specialist will be the interface with managers and departments to plan and prioritize purchasing activities, review planned orders, Transmit and prioritize supporting documents to suppliers, prepare and communicate shortages and backlog reports, and provides visibility of potential interruptions.
Essential Duties and Responsibilities:
- Languages spoken commonly in the workplace are English and Mandarin. Ability to speak effectively and interact with other team members, engineers, leadership and customers.
- Examines and analyzes purchase requisitions in OA System for completeness and accuracy of information; contacts originator or department manager for clarification or to complete requisition.
- Creates purchase orders and routes to vendors after approval.
- Expedites purchase orders as requested and ensure the required conclusion is meet.
- Verifies order receipt, tracks delivery dates and notifies appropriate personnel of potential discrepancies.
- Updates internal database with updated purchase order information as required.
- Negotiates vendor delivery dates to meet the needs of our customer as necessary.
- Creates and issues change orders as needed to meet customer expectations and the needs of the business.
- Investigates and resolves order acknowledgement and invoice discrepancies as necessary
- Processes proforma invoices for assigned orders and follows up to ensure prompt payment so as not to delay the order.
- Responsible for small-medium-large project orders assigned from order entry through to delivery; works with project manager to ensure information is up to date on all orders and issues for said projects.
- Identifies opportunities and implements action to achieve efficiencies and cost reduction.
- Alerts management to any issues with suppliers, product availability and pricing.
- Regular interaction with departments/requestors to overcome potential issues with purchase orders.

Supervisory Responsibility
This position has no direct supervisory responsibilities, but does serve as a coach and mentor for other positions in the department.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
While performing the duties of this job, the employee is regularly required to talk or hear, and be able to prolonged standing or sitting while visiting suppliers. This would require the ability to drive a vehicle.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.
Travel
Some travel to supplier locations may be required.
Required Education and Experience
- Educated to bachelor’s Degree level
- Three years of experience in purchasing or any similar combination of education and experience.
Preferred Education and Experience
- Degree in Purchasing or Supply Chain Management.
- Bilingual preferred, English and Mandarin.
