Job Title: Physical Therapy Front Office Coordinator
Location: Washington, DC

Position Summary:
The Front Office Coordinator is the first point of contact for patients and plays a key role in creating a welcoming and organized environment. This role ensures the smooth operation of daily clinic activities, including scheduling, patient communication, and administrative tasks, supporting the clinic’s mission of delivering exceptional care.

  • Occasionally lift or move office supplies weighing up to 20 lbs.

Job Responsibilities

Key Responsibilities:
  • Patient Interaction:** Greet patients warmly, answer inquiries, and ensure a positive experience during all points of contact.
  • Scheduling and Coordination:** Manage patient appointments efficiently, balancing provider availability and patient needs. Confirm appointments and handle rescheduling or cancellations.
  • Insurance Verification: Verify insurance benefits, obtain authorizations, and ensure accurate billing information prior to treatment.
  • Financial Transactions: Collect copayments and balances, issue receipts, and provide explanations of patient financial responsibilities.
  • Administrative Support: Maintain organized patient records and documentation in compliance with clinic policies and HIPAA guidelines.
  • Communication Management: Answer phones, respond to emails, and relay messages promptly to appropriate team members.
  • Team Collaboration: Work closely with clinicians and other staff to optimize patient flow and provide seamless support for clinical operations.
  • Clinic Presentation: Keep the front office and waiting areas clean, organized, and stocked with necessary supplies.

Required Skills and Qualifications

Qualifications:
  • High school diploma or equivalent; additional education in healthcare administration or related fields preferred.
  • Previous experience in a medical or physical therapy office setting preferred.
  • Proficiency with scheduling software and electronic medical records (EMR) systems.
  • Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
  • Excellent communication and interpersonal skills to provide exceptional service to patients and team members.
  • Familiarity with insurance processes, authorizations, and medical billing is a plus.
