We are seeking an enthusiastic, well-organized, and motivated Receptionist to join our team at our Miami, Florida location. The Receptionist will be responsible for answering incoming front desk phone calls, managing the lobby area, and providing positive first impressions along with welcoming guests. The ideal candidate should be a dynamic self-starter who is eager to thrive in a challenging environment and possesses the ability to multi-task while remaining organized.
Responsibilities:
- Greets visitors in a friendly and professional manner; determines their needs, notifies the person(s) being visited; responsible for reception area at all times.
- Coordinates substitutes/coverage with People Operations Manager during absences.
- Answers telephone calls promptly and courteously; screens calls, transfers caller to correct individual; takes complete and accurate messages, and distributes messages in a timely manner
- Activates the answering machine at the end of the day and places the system on "night ring" mode.
- Checks the answering machine in the morning and retrieves messages to be delivered accordingly
- Sorts incoming and outgoing mail, express envelopes, and courier packages to be distributed to employees
- Maintains office supply cabinet, monitor inventory of supplies and orders accordingly
- Performs routine clerical functions as requested
Qualifications:
- High school diploma or equivalent GED
- Great time management skills to prioritize and complete a variety of tasks throughout the day
- Excellent written and verbal communication skills
- Able to contribute positively as part of a team, helping with various task as required
- Experience with clerical procedures and prior receptionist experience
- Competency in Microsoft applications, including Word, Excel, and Outlook
