SUMMARY: Provides comprehensive administrative and clerical support to ensure the efficient operation of the department and broader District initiatives. The ideal candidate is highly organized, technologically adept, and possesses exceptional communication skills with a commitment to professionalism and confidentiality. This role is pivotal in managing office functions, facilitating clear communication, and supporting compliance with Board policies, guidelines and applicable regulations.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Demonstrates sound judgment and emotional stability.

· Schedules and attends meetings; prepares agendas and takes accurate minutes.
· Maintain accurate records, manuals, directories, calendars and standard operating procedures (SOP).
· Utilizes Computerized Maintenance Management Systems (CMMS) and Building Automation Systems (BAS).
· Coordinates logistics for District facility rentals, department schedules and events.
· Prepares, proofreads, organizes and distributes correspondence, reports and other documents.
· Processes Board Docs, public record requests, contract executions and insurance claims.
· Processes requisitions, purchase orders, invoices, pay applications and all other budget-related transactions.
· Tracks expenditures and generates financial reports, as needed.
· Maintains construction, maintenance and permanent improvement project records, schedules, drawings, bids and proposals.
· Manages documentation related to inspections, building access, AHJ compliance, timesheets, absence reports and asset inventory.
· Operates and maintains office equipment, ensuring smooth technological operations and supplies are readily available.
· Provides redundancy to other district secretaries.
· Supports emergency preparedness efforts by assisting with crisis management plans and compliance tracking.
· Serves as a liaison between the Business Department and other District departments, staff, students and community members.
Other duties as assigned by supervisor.
