We are looking for a CAR-T Scheduling Specialist
Scope of the job
The CAR-T Scheduling Specialist coordinates patient treatment schedules with manufacturing timelines for CAR-T products. Serving as the main contact for scheduling, they address operational issues related to transportation, manufacturing, distribution, and administration. As a key member of the Site Care Team, the Specialist ensures timely delivery of CAR-T products through collaboration with internal and external teams. The role involves managing patient supply chains, fostering supplier relationships, and driving scheduling best practices while balancing multiple priorities.

Base compensation for this position ranges from $ 106,000 to $ 178,000. Actual base compensation will be determined based on a variety of factors including experience, qualifications, job-related knowledge, demonstrated skills and geographic location. The company reserves the right to modify base salary ranges at any time.

Your role
- Patient Schedule Management
- Serve as the primary scheduling contact for assigned treatment sites.
- Create and manage patient schedules in collaboration with treatment and manufacturing sites allowing an efficient and continuous patient calendar
- Coordinate with apheresis collection centers, manufacturing sites, administration sites, and third-party logistics partners to create and maintain patient schedules within the process constraints.
- Proactively monitor the cell therapy collection, delivery, transportation, and manufacturing activities for patient schedules as they move through the vein-to-vein process.
- Input and maintain patient scheduling data in the scheduling system.
- Maintain master data in the account management system.
- Issue Resolution and Escalation Management
- Liaise with different departments/roles for issue troubleshooting related to cell journey and patient journey, and for developing adequate action plans.
- Handle exception processes, including product returns, replacements, and out-of-spec products.
- Maintain positive customer relationships by ensuring seamless operations.
- Collaboration and Stakeholder Engagement
- Provide dedicated, personalized support delivered over the phone and via email.
- Provide training to treatment sites on scheduling processes as required.
- Document and address feedback from customers and partners.
- Foster effective communication, coordination, and relationship-building to achieve mutual objectives.
- Organizational Excellence
- Communicate with internal and external stakeholders via phone and email to ensure a positive customer experience.
- Adhere to applicable SOPs and work practices.
- Actively participate in Site Care Team meetings and provide support to identify risks and implement improvements.
- Provide feedback on ways to improve customer service and internal processes to better serve our customers
- Education: Bachelor’s degree or 3 years of relevant work experience.
- Experience: Background in patient services, account management, logistics, or supply chain is preferred.
- Operational Expertise: Comprehensive understanding of CAR-T planning, cell therapy manufacturing steps, patient scheduling and its alignment with manufacturing schedules.
- Customer-Centric Approach: Commitment to delivering a superior customer experience through active listening, and exceptional verbal and written communication skills
- Clinical Knowledge: Strong clinical understanding of autologous cell therapy and ability to manage complex treatment logistics.
- Strategic Problem-Solving: Ability to proactively address challenges and resolve escalated issues effectively.
- Collaboration and Stakeholder Management: Strong interpersonal skills to engage with diverse teams and stakeholders.
- Organizational Skills: Strong time management and decision-making skills in a fast-paced, high-volume environment while maintaining high standards.
