Position Overview

The Operations Specialist oversees all aspects of order management, customer service for product installations, and scheduling. The position is based in the Las Vegas office.

Responsibilities:

  • Process and maintain accurate data through NetSuite for all electronic product orders
  • Work with various departments and clients to ensure all tasks to complete the installation is being done and on target
  • Confirm client contacts and schedule IT/Installation calls
  • Verify compliance requirements for shipments and installations
  • Confirm product configuration on orders and update work orders to build for installation
  • Update service tickets with status and information required for installs and maintain service calendar linked to open installation service tickets
  • Update NetSuite on order status
  • Facilitate the flow of information amongst team members and between various departments
  • Fulfill orders and record installation of finished assemblies at client locations and process any return authorizations coming back from client locations
  • Prepare packing lists for compliance and shipping when required
  • Process items installed to convert inventory into fixed assets
  • Assist with special product item orders
  • Review NetSuite Opportunities that are pending signed contracts with the sales team to identify orders that should have inventory committed before the normal order process stage
  • Process Product Only sales orders
  • Other duties as assigned

Required Knowledge/Skills/Job Qualifications:

  • Excellent verbal and written communication skills
  • Must exhibit great focus and attention to detail in all projects within a dynamic environment
  • Must have the ability to multitask and handle multiple routines simultaneously
  • Excellent time management and prioritization skills
  • Maintain a positive attitude and professional demeanor
  • Proficiency in Outlook, Word, Excel, and familiarity with task management tools, such as NetSuite
  • Ability to promptly respond to common inquiries, complaints, or requests from various internal and external parties in a professional manner
  • Talent to build strong relationships with customers and service contractors
  • Ability to read, write, and interpret detailed, concise, and accurate documents, such as reports, policies, procedures, and correspondence
  • Ability to maintain organization, meet deadlines, and demonstrate integrity and discretion in handling confidential information
  • Ability to obtain a Nevada gaming license

Education / Experience:

  • Bachelor’s Degree in business or a related field and/or a combination of education and equivalent work experience in a related field
  • Experience with order management, including processing sales and work orders
  • At least 1-2 years of project management or administrative experience
  • At least 3 years of customer service experience
  • Experience using ERP/CRM systems preferred
  • Experience in table games a plus

Physical Requirements:

  • Must be able to remain in a stationary position for extended periods of time
  • Must occasionally move about inside the office to access office machinery, etc
  • Constantly use hands/fingers to operate a computer and other office productivity machinery, such as a calculator, copy machine, etc
  • Occasionally will need to reach with hands and arms, lift objects up to 10 pounds, climb/balance, stoop/kneel/crouch/crawl or stand for periods of time
