Job Summary:
GalaxyCon is a festival of fandom that celebrates comic books, pop culture, sci-fi, fantasy, anime, gaming, cosplay, and more. GalaxyCon is more than a comic-con, it’s a galaxy of fun!
We are looking for a Live Events Manager to join our team and coordinate the logistics and operations of our live events. You will be responsible for communicating our setup and on-site needs with the venues, creating and reviewing various orders and documents, working with in-house departments and external partners, ensuring a smooth and successful event execution, creating and updating the budget and reports, and managing the equipment inventory.
Key Responsibilities:
- Communicate our setup and on-site needs with the building regarding equipment, layouts, utilities, staffing, catering, and more.
- Create layouts, utility orders, catering orders, security/EMT/Police schedules, etc. that meet our standards and expectations.
- Review in-house staffing doc, celebrity contract doc, hotels & flights doc, programming schedule, exhibitor doc, etc., and ensure accuracy and completeness.
- Work with in-house departments to ensure their needs have been communicated to the building via layouts, schedules, equipment orders, etc., and provide feedback and support as needed.
- On-site liaison with the building to ensure a smooth load in, event, and load out while finding solutions to any problems that arise along the way.
- Create and update the budget for each live event and provide current status for GalaxyCon President at requested intervals.
- Work with the President's Executive Assistant on hotel blocks for each event and pull reports for the President at requested intervals. Knowledge of Passkey is a plus.
- Create an equipment inventory for each live event to ensure all items are packed in the warehouse and set up in place and on time during the show.
- Monitor and evaluate the performance and feedback of each live event and provide suggestions for improvement.
- Other job duties as assigned
Qualifications:
- Bachelor’s degree in event management, hospitality, or related field. Master’s degree preferred.
- At least 5 years of experience in live event management, preferably in the entertainment, media, or events industry.
- Proven track record of planning and executing successful live events, from small to large scale.
- Strong written and verbal communication skills
- Excellent organizational and project management abilities
- A passion for comic books, pop culture, sci-fi, fantasy, anime, gaming, cosplay, and more
- A willingness and ability to travel to GalaxyCon events, which may require working on weekends and holidays
