What are the responsibilities and job description for the Scalehouse Operator position at Gallatin County?
- This position provides customer service, cashiering, and monitoring through the facility’s scale house. The position is also responsible for monitoring safety of project sites and work activities.
- Provides information and customer service regarding allowable materials, permits, and related issues. Resolves routine problems and complaints (e.g., disputed weights, invalid permits, insufficient funds, etc.) and refers unsatisfied customers to staff as appropriate
- Monitors content of customer loads to determine appropriate fee assessments (i.e. different types of materials are billed at different rates, so Operator must assign percentages for each type of material), identify regulated materials that require special paperwork or do not meet Logan Landfill requirements, and to direct customers to appropriate deposit sites. Provides additional paperwork as needed for regulated materials, and coordinates with Equipment Operators and other staff as needed to properly dispose of hazardous materials, animal carcasses, and other waste materials.
- Serves as scale house cashier to collect and record fees and payments. Enters load content percentages and fees into specialized computer software, ensures that the correct charges are collected in cash or debited to appropriate account, creates transaction reports, balances cash and charge accounts, and assists the Director and/or Assistant Director in ongoing accounting and reporting processes. Completes appropriate forms documenting transactions.
- Weighs customers’ vehicles entering and leaving the scale house to determine individual load weight. Pulls up customer records prior to exiting, makes necessary revisions to initial tickets, and coordinates additional payments and receipts.
- Calibrates, operates, and monitors the use of scale to ensure safety and effectiveness. Coordinates with equipment operators and mechanics to diagnose and resolve problems. Performs snow removal, picks litter, cleans scale house and office, and performs other maintenance tasks involved in the overall management of the Bozeman Convenience Site and the Logan Landfill.
- Directs incoming and outgoing traffic to expedite customer flow through the scales. Determines methods of alleviating wait times during busy periods by processing customers with charge accounts first, and other methods to improve efficiency.
- Monitors processing sites and work activities to ensure compliance with safety protocols related to members of the public, work crews, heavy equipment and tools, traffic flow, materials, and other considerations. Identifies and resolves minor safety issues or deficiencies and refers major problems to supervisor.
- This position supports the ongoing operations of the Logan Landfill by participating in inter-unit training, workforce development, and service improvement activities; completing required paperwork; and recommending changes, upgrades, and enhancements to equipment, tools, and procedures.
- Coordinates with Equipment Operators, other office and scale house staff, and others to participate in cross-training, rotational assignments, emergency responses, workload management, and other inter-unit activities.
- Compiles, completes, and submits required timecards, activity reports, inspection reports, and other records to provide accurate, complete, and timely information.
- This position performs a variety of other duties as assigned by the Director and/or Assistant Director, including coordinating special projects, attending meetings, and training, and performing a variety of other duties in support of landfill operations and activities. If the County Commission proclaims a local emergency due to an actual or threatened disaster such as an earthquake, fire, riot, flood, etc., County employees may be required to provide services during the emergency and for a subsequent period of assessment and recovery.
- The required knowledge, skills and abilities are typically acquired through a combination of education and experience equivalent to a high school diploma plus three (3) years of experience in retail or customer service, cashiering, office operations, or related field.
- This position requires knowledge and skills in customer service techniques, cashiering, and bookkeeping; office equipment operations and hazardous waste regulations; state, county, federal laws, rules and procedures; record management and research methods. The position also requires the ability to monitor and maintain safety protocols, work effectively under adverse site conditions, and coordinate tasks and procedures with others. Skill in the use of various computer software and systems; skill in the use of specialized computer software (e.g., WasteWorks) is also required; and the ability to communicate both verbally and in writing.
- The scale house operator is required to complete the following training/accreditations within one year of hire: Montana Driver’s License (with appropriate commercial/equipment endorsements), First Aid/CPR AED, HazWoper 24 Hour.

Licenses and Certifications: Applicants for this position must possess a valid driver’s license issued by the state of Montana or attain a Montana driver’s license within six months of hire and be insurable under the County’s liability policies.
