Galvanize Therapeutics is a biomedical platform company operating at the convergence of engineering, biology, and healthcare delivery, aiming to deliver life-changing solutions to patients and their doctors. We design and develop Pulsed Electric Field Systems to achieve meaningful and lasting therapeutic outcomes for patients.

We are seeking a highly organized and proactive Executive Administrative Assistant to support the Chief Medical Officer (CMO). This role involves managing the CMO’s calendar, coordinating communications, and assisting with critical projects. The ideal candidate will possess excellent time management skills, professionalism, and the ability to handle sensitive information with discretion such as PHI.

Key Requirements

Education and Training : Bachelor’s degree in business administration, healthcare administration, or related field preferred.

Skills and Experience : 5 years of executive-level administrative support, ideally within the healthcare, pharmaceutical, or life sciences sectors. Exceptional organizational and multitasking abilities. Strong written and verbal communication skills. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Zoom, Teams). Ability to handle confidential and sensitive information with discretion. Problem-solving mindset with strong attention to detail and accuracy. Experience managing travel logistics and expense reporting. Familiarity with clinical or regulatory environments is a plus.

Key Responsibilities

Administrative Support

  • Manage and maintain the CMO’s schedule, including coordinating meetings, appointments, and travel arrangements.
  • Handle correspondence (emails, phone calls, etc.) and prioritize inquiries requiring the CMO’s attention.
  • Draft, edit, and proofread reports, presentations, and communications.
  • Prepare materials and agendas for meetings, take minutes, and follow up on action items.

Project Coordination and Clinical & Medical Affairs Support

  • Assist in tracking key initiatives and deliverables related to the CMO’s projects and medical strategy.
  • Coordinate with internal teams such as Clinical, Regulatory, R&D, and Legal on medical affairs activities.
  • Compile data and reports for board meetings, clinical projects, and other executive updates.
  • Manage special projects as assigned by the CMO, ensuring timely execution and follow-up.
  • Communication and Stakeholder Engagement

  • Serve as the liaison between the CMO and internal / external stakeholders, including physicians, researchers, and executive leadership.
  • Coordinate meetings with external collaborators, such as hospitals, research institutions, and regulatory bodies.
  • Handle confidential information with the utmost discretion and professionalism.
  • Travel and Expense Management

  • Arrange domestic and international travel for the CMO, ensuring detailed itineraries.
  • Process and reconcile travel and business expenses in accordance with company policy.
  • Business Operations and Support

  • Maintain filing systems and organize documents for quick access and reference.
  • Assist with scheduling interviews, conferences, and events relevant to the medical team.
  • Ensure smooth day-to-day business operations.

    Position Reports To : Chief Medical Officer

    This role pays between $80,000 and $115,000 per year, and your actual base pay will depend on your skills, qualifications, experience, and location.
