This is a pivotal role that will directly influence the success of our organization.
Key Responsibilities:
- Provide proactive, high-level administrative support to the CEO and Senior Leadership Team (SLT), ensuring seamless day-to-day operations.
- Maximize the effectiveness of Galvion’s executives through exceptional attention to detail, strategic foresight, and meticulous planning. Lead the coordination of meetings and company-wide events, ensuring seamless execution of logistics and strategic support. Serve as a vital ambassador for the Galvion brand, representing the organization’s values and mission in all interactions with internal and external stakeholders. Collaborate closely with executives on high-impact projects, offering strategic insight and driving tangible outcomes. Take ownership of managing activities at key strategic meetings and events, overseeing communication efforts at high-profile functions to ensure alignment with company goals.
- Oversee complex scheduling, travel logistics, and calendar management for the CEO and SLT, ensuring optimal time management and prioritization.
- Approach complex and undefined challenges with innovative, solution-oriented thinking. Demonstrate advanced decision-making skills and the ability to navigate ambiguity with confidence. Exercise autonomy and independence in developing methods and strategies to deliver exceptional results with minimal direction.
- Proactively establish and cultivate formal networks across departments and external partners, seeking relevant information to inform priorities and decisions. Leverage these relationships to influence a diverse range of stakeholders and audiences, ensuring clear and effective communication strategies that align with the organization’s objectives.
- Plan and execute internal and external events, meetings, and conferences, ensuring attention to detail and flawless execution.
- Communicate effectively across multiple channels and with internal and external stakeholders, ensuring clarity and professionalism in all written and verbal communication.
- Prepare and edit presentations, reports, and other documents, ensuring accuracy and alignment with organizational priorities.
- Serve as a liaison between the CEO, SLT, and other stakeholders, fostering collaboration and facilitating communication.
- Handle confidential information with discretion and professionalism.
- Anticipate needs and take the initiative to solve problems before they arise.
- Manage Corporate Travel Program
Qualifications:
- 5 to 10 years’ experience as an Executive Assistant, preferably in a fast-paced and growing environment, demonstrating proficiency in complex responsibilities
- Excellent organizational and multitasking abilities, with exceptional attention to detail.
- Exemplary written and verbal communication skills, with the ability to interact effectively with senior executives, clients, and other stakeholders.
- Event planning experience with a keen sense for logistics and coordination.
- Ability to handle sensitive and confidential information with professionalism and discretion.
- Adept in office productivity software (e.g., Microsoft Office Suite, Zoom Meetings, Teams Collaboration Tools, etc.).
- Outstanding interpersonal communication skills across various mediums (in-person, email, Zoom, and phone).
- Positive, proactive attitude with a passion for supporting executive leadership and contributing to organizational success.
- A proactive, problem-solving mindset and a strong sense of urgency.
