Hours: Monday thru Thursday 8 a.m. – 5 p.m., Friday 8 a.m. – noon

Summary: The Financial Planning Trainee is responsible for providing a welcoming environment for clients, staff, and visitors while also providing administrative support.
We are excited to welcome a Financial Planning Trainee to our team – an entry-level position that begins as a front desk executive. Your warm greetings and friendly demeanor will help create a welcoming atmosphere as you assist clients, marketing and manage communications, all while providing administrative support that assists financial planners, agents, and associate financial advisors that keeps the office running smoothing and professionally.
Key Responsibilities:
· Client Interaction:
· Greet and welcome clients, staff, and visitors in a professional and courteous manner.
· Direct clients to the appropriate person or department.
· Answer client inquiries and provide general information about the company and its services.
· Manage incoming and outgoing mail and packages.
· Marketing:
· Maintain social media profiles and posts/activity
· Maintain business website
· Manage/Distribute newsletters and mailings
· Plan/Host client/prospect events
· Manage/Distribute marketing materials
· Send personal touches to clients – birthday, holiday cards
· E-relationship
· Administrative Support:
· Maintain a clean and organized reception area.
· Assist with scheduling appointments and meetings.
· Prepare and distribute documents and correspondence.
· Manage office supplies.
· Perform other administrative tasks as needed.
· Technology Management:
· Manage office equipment.
· Answer, screen, and forward phone calls promptly and professionally.
· Take and relay messages accurately and efficiently.
· Manage the phone system and voicemail.
· Confidentiality:
· Maintain the confidentiality of client and company information.
Skills and Qualifications:
- Pass background and credit checks.
- Excellent customer service and interpersonal skills.
- Strong communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle multiple tasks and prioritize effectively.
- Currently hold Montana Health and Insurance licensing or obtain licensing within 3 months of hiring.
- Obtain Series 7 and Series 66 licensing within a reasonable timeframe.
- High school diploma or equivalent.
- Experience in a financial office or related field is a plus but not required.
