Job Description:
Gangi Dental Care has an exciting opportunity as a dynamic and experienced Dental Office Leader to oversee the administrative operations of our clinic. The Dental Office Leader will play a key role in leading and motivating our administrative team to ensure efficiency, productivity, and exceptional patient care. This position requires strong leadership skills, strategic thinking, and a commitment to excellence in the management of dental practices. The Dental Office Leader can efficiently deal with complaints and has a strong approach to customer service.
Responsibilities:
Leadership and Team Management.
- Act as the primary point of contact between management and office staff, conveying important information and ensuring communications are clear and effective in both directions.
- Provide leadership, guidance, and mentorship to the office-wide administrative team.
- Establish clear activities, goals, and performance standards for members across the office.
- Foster a positive and collaborative work environment to promote team cohesion and morale.
Administrative Oversight:
- Direct and support the day-to-day operations of the entire office. Including, but not limited to, receptionists, dental assistants, doctors, and others.
- Assign tasks and ensure they are accomplished, set goals, and provide guidance.
- Schedule shifts and work schedules for the entire team, cover needs and inform employees if any changes arise.
- Ensure compliance with dental office policies, procedures, and regulatory requirements.
- Implement and maintain efficient workflows to optimize office productivity. * Provide additional administrative support as needed, such as preparing reports, scheduling meetings, managing emails, and answering phone calls.
- * Identify and address issues or challenges that arise in the office, whether related to personnel, processes, or resources, and seek effective solutions.
- Ensure that customer support is timely, accurate, and of quality.
- Prepares and controls the office budget. Keeping records of expenses and office costs up-to-date and submitting them to the Accounting Department.
- Responsible for conducting employee performance evaluations in conjunction with the Human Resources Department.
- Send to the Human Resources department any document submitted by the employee, requests submitted for time off, vacations, etc. by the employees for the corresponding approval.
- Ensured that the office is up to date with all permits, state licenses, etc. necessary for the operation.
- Oversee the maintenance and overall operation of the office, ensuring that all supplies are available, that equipment is in good condition by following up on preventative maintenance of dental equipment, and that health and safety regulations are adhered to.
Quality Assurance:
- Implement quality protocols to maintain high standards of patient care and service delivery.
- Conduct regular audits and reviews of administrative processes to identify areas for improvement.
- Collaborate with clinical staff to ensure effective coordination of patient care and treatment planning.
- Assist in the development of policies, procedures, and daily reports.
- Ensure that security requirements and company policies are adhered to.
- Schedule and execute evacuation drills with all office staff.
Training and Development:
- Ensure that office staff have the required training and provide the necessary follow-up.
- Develop and implement training programs to improve the skills and knowledge of administrative staff.
- Provide coaching and ongoing feedback to support staff development and performance improvement.
- Stay informed about industry trends, best practices, and advancements in dental office management.
Requirements:
- Bachelor's degree in healthcare administration, business management, or a related field, being in possession of an additional certificate will be an asset.
- Strong leadership and interpersonal skills, with the ability to inspire and motivate a team.
- Excellent organizational skills and ability to solve problems, with attention to detail.
- Proficiency in dental practice management software and Microsoft Office 365.
- Knowledge of dental insurance terminology, procedures, and protocols.
- Understanding of regulatory requirements and compliance standards in the healthcare industry.
- Commitment to continuous learning and professional development.
- Excellent knowledge of customer service and office management procedures and basic accounting.
- Bilingual: Proficient in Spanish and English (oral and written).
