We’re looking for a high-energy, organized, and detail-oriented HR Coordinator to join our team! The HR Coordinator plays a key support role, providing administrative, recruiting, and compliance support across all areas of HR. They will be a responsive and approachable point of contact for both internal and external stakeholders, helping to ensure a smooth and efficient HR function. This is a hybrid role, primarily remote but requiring in-person site visits at least one day per week across our four Massachusetts worksites (Fitchburg, Newton, Melrose, and Marlborough).
This individual will be responsible for coordinating recruiting activities, onboarding and offboarding, managing agent registrations (Cannabis Control Commission), maintaining HR documentation, and supporting employees across the organization. The ideal candidate is organized and committed to delivering excellent internal and external service.
Key Responsibilities
Recruiting & Onboarding
- Coordinate job postings, interview scheduling, and candidate communications
- Schedule candidate interviews and communicate with applicants and hiring managers throughout the process
- Assist with resume review and tracking applicants in the ATS
- Manage pre-employment steps including background checks and CCC agent registrations
- Prepare onboarding materials and support orientation logistics
- Ensure timely offboarding and agent deregistration processes
HR Administration & Compliance
- Maintain and update confidential employee records
- Process personnel actions and maintain HRIS data
- Handles offboarding logistics, including termination paperwork and exit interviews
- Track required compliance documentation and ensure timely renewals (e.g., agent IDs, I-9s)
- Assist in updating HR documents such as handbooks and policy guides
- Track HR metrics and support reporting efforts as needed
- Help ensure compliance with HR policies and state/federal regulations
- Provide day-to-day administrative support to the HR team; acts as a backup for payroll, benefit administration, and training coordination
- Respond to internal and external inquiries with a high level of professionalism
- Support HR team with benefits administration tasks during open enrollment or other events
Employee Support
- Act as a first point of contact for general HR-related questions
- Provide administrative support on benefits, training, and employee programs
- Schedule meetings and HR-related events
- Support project-based work and help improve HR processes
- Performs other duties as assigned in a timely and efficient manner
