Gardens Plastic Surgery, an AQUA Dermatology portfolio company, is seeking a highly motivated, organized, and experienced Practice Administrator to lead and manage the operations of a busy and dynamic plastic surgery center.
The Practice Administrator will oversee the day-to-day operations, patient and provider relations, marketing and networking management and ensure that the practice delivers exceptional care in a compliant and efficient manner. This position requires a strong leader with a background in medical practice management, excellent communication skills, and the ability to implement best practices in patient care and operational efficiency.
Responsibilities:
- Create a lively, welcoming atmosphere when greeting patients and physicians. This requires working autonomously/independently yet being an integral part of an overall team environment.
- Maintaining a warm and engaging facility which includes appearance, upkeep, environmental systems, and exterior, including any licensing for the current and possible future sites.
- Oversee the work of all office employees to ensure they work productively and meet deadlines and company standards.
- Interview and train new office employees. Counsel existing employee(s) when needed.
- Answer and field telephone calls, emails, and contacts from vendors, physicians, and patients while directing them to relevant staff or addressing the matter.
- Be adept at creating spreadsheets within our data collection software and generating reports as needed.
- Monitor and improve financial performance, reduce overhead costs, and increase revenue through strategic business development initiatives.
- Develop staff schedules, conduct regular performance reviews, and ensure staff compliance with practice policies and regulations.
- Monitor supply and product inventory
- Assist with the development and implementation of the practice's marketing and business development strategies.
- Build relationships with referring physicians, patients, and the community to enhance the practice's reputation and patient base.
- Analyze market trends, competitor activity, and internal data to make informed decisions on future growth initiatives.
- Work with vendors for on-site product knowledge and education
- Attend weekly meetings with providers on the ongoing success and management of the practice
- Conduct biweekly staff meetings along with co-managers.
Required Education and Experience
- Bachelor’s degree in Healthcare Administration, Business Administration, or related field; licensed RN highly preferred.
- Minimum of 5 years of experience in a medical practice management role, with at least 2 years in a leadership position (preferably in plastic surgery or a similar field).
- Strong understanding of medical office operations, healthcare marketing, financial management, healthcare regulations, and patient care.
- Proven leadership skills with the ability to motivate, manage, and mentor a team.
- Excellent communication, interpersonal, and problem-solving skills.
- Proficiency in electronic health records (EHR), practice management software, and MS Office Suite.
- Strong organizational and time management skills with the ability to prioritize tasks in a fast-paced environment.
- Knowledge of the unique needs and demands of a plastic surgery practice is a plus.
