Job Summary
We are seeking a self-motivated, dedicated, and organized part-time Construction Office Assistant to support our team in various tasks. This role is essential in ensuring that projects run smoothly and efficiently.
Duties
- Organize, track and maintain project files, documentation, and schedules.
- Provide administrative support by answering phone calls, managing correspondence, and facilitating communication with clients, subcontractors, vendors and team members.
- Prepare bid documents, process contracts, change orders and generate payment application forms in AIA.
- Help obtain quotes and provide purchase orders for materials and equipment needed on-site.
- Create estimates and invoices in QuickBooks. Provide assistance in AR/AP.
- Support the team with any additional tasks as needed to ensure project success.
- Organize and maintain office files and systems.
Requirements
- Strong time management skills to prioritize tasks effectively and meet deadlines.
- Excellent in organizing
- Good phone etiquette for professional communication with clients and vendors.
- Previous construction office assistant experience is a plus.
- Familiarity with office management practices to assist in daily operations.
Job Type: Part-time
Pay: $20.00 - $25.00 per hour
Expected hours: 16 – 24 per week
