Small boutique law firm in Memphis is seeking to hire a legal assistant/paralegal to join our busy practice. Our ideal candidate would possess excellent communication and organizational skills, be proficient in Microsoft Office and is extremely detail orientated. This position provides support to all attorneys and staff.
Responsibilities:
- Provide friendly and professional telephone support by answering phone calls and assist with client telephone inquiries when attorneys are unavailable
- Greet our clients/guests when they arrive for meetings
- Maintain physical and electronic client files and file lists, while being mindful of protecting sensitive client information and client confidentiality when necessary
- Process and prioritize incoming/outgoing mail
- Take mail to the post office, drop off FedEx packages
- Order office and breakroom supplies
- Organize and maintain office’s copy/file room
- Write checks, pay bills
- Take deposits to the bank
- Update and maintain client physical files and electronic files in our computer system as well as open/close files, periodically reviewing files for potential storage of older closed files and preparing them for storage
- Anticipate the needs of attorneys for correspondence that will need to be prepared, materials that will be needed for meetings, depositions, court appearances, and mediations
- Draft correspondence, memoranda, pleadings, and other legal documents as needed
- Proofread documents for grammatical, typographical, or spelling errors and completeness before they are distributed or filed
- Coordinate and make necessary arrangements for meetings, depositions, court appearances, mediations, interviews, Zoom sessions
- Help maintain attorney calendars and travel schedules
- Routinely review client communications and client deadlines, make sure deadlines and appointments are calendared, and provide reminders of upcoming deadlines
- Request and organize medical records and bills, as well as FOIA requests
- Update copy/postage costs on client files
- Update and maintain client pleadings indexes
- Transcribe dictation and general clerical tasks
- Electronic filing within the various courts
- Assist attorneys, paralegal and office administrator as needed
- Other duties as assigned
Experience/Qualifications:
- Must be proficient in Micrsoft Office (minimum of two years)
- Law firm experience preferred
- Knowledgeable with Tabs, QuickBooks, LexisNexis, Pacer, E-filing, and Zoom is preferred, not required
- Salary based upon experience

Pay: $40,000.00 - $50,000.00 per year
