What are the responsibilities and job description for the Deputy Clerk I position at Gaston County Government?
The Deputy Clerk I will serve as a direct report to the Clerk to the Board and will assist with all administrative duties as it pertains to the functionality of the Board of Commissioners' Office.The duties listed below are not all of the duties that may be assigned but are those that are considered as essential for an employee to perform.

- Assist Clerk to the Board with County Appointment process. Process monthly Board of Commissioners citizen appointments/reappointments. Maintain appointment database and citizen appointment pages on County website; process applications; track expiring terms and vacancies; provide weekly and monthly reports; prepare weekly and monthly appointment list for BOC; publicize vacancies; track and report appointed board attendance, weekly, monthly and quarterly. Prepare correspondence with boards and applicants; provide regular assistance and research to internal board staff/board secretaries. Coordinate Board of Equalization and Review annual appointment process with Clerk to the Board. Prepare and file mandated annual gender report for the Secretary of State.
- Assist Clerk to the Board with managing and maintaining County Central Contract process. Process and log new contract requests and assign contract numbers; review and process contract paperwork and prepare contracts for Attorney Review. Provide departmental assistance to contract originators including trouble-shooting, research and contract tracking and Munis assistance. Approve and post contracts in Munis, on behalf of the Clerk to the Board. Maintain I-Track/Laserfiche Database. Attain signatures and attestation for contracts and provide notarization. Maintain hard copy and digital repository for contract retention/disposition per Archives retention schedule; Attest contracts in Clerk to the Board’s absence.
- Maintain Commissioners Calendar using TeamUp software application for county-wide events including Municipal meetings, boards/committee meetings/events, County government events, community events and annual parade calendar. Maintains BOC meetings on County website calendar.
- Serve, along with Co-Deputy Clerks, in the Clerk to the Board’s absence and performs all official responsibilities & duties which may include BOC and committee meeting attendance, certification and attestation of County contracts. Assist with Commissioner Travel Arrangements. Provides assistance to the Board of Commissioners as needed. Composes correspondence; prepares monthly workload and measures report for budget process. Assists with citizen, media and staff inquiries, requests, & research. Assists Clerk to the board and Co-Deputy Clerks as needed and other duties as assigned. Assists Clerk to the Board with managing telephone, email, mail. Assist with preparation of Annual Planning Session; semi-annual Commissioner's Induction Ceremony and other projects and events as required. Cross-Training. Assumes duties of Co-Deputy Clerk in his/her absence.
- Process department payment requisitions, purchase orders and p-card allocations; order supplies; correspondence; filing.
- 4-yr degree in related field w/min 1 yr of related governmental, legal, or administrative/executive support experience;
- 2-yr degree in related field w/min of 3 yrs of related governmental, legal, or administrative/executive support experience
- Or, a minimum of 5 yrs of combined training/experience in a related field, preferably legal or governmental, and/or administrative/executive support, that provides the necessary skills to carry out the duties of the position.
Minimum Experience:
At least 5 years of related experience, preferably governmental or legal, or administrative/executive support experience.
