Administrative Secretary - 11:30 AM - 4:30 PM
Contracted, Full-time Position
MINIMUM QUALIFICATIONS:
High school diploma or equivalent; Two years of experience in general secretarial and office operations; computer experience in word processing and spreadsheets; experience in report generating; typing, filing, and general office duties.
PREFERRED QUALIFICATIONS:
Proficiency with Microsoft Office and Google Apps G Suite
SPECIFIC DUTIES & RESPONSIBILITIES:
- Welcomes visitors
- Maintain a professional appearance
- Work in a pleasant cooperative manner with building staff members, volunteers, and parents
- Answer phone, direct calls to appropriate staff, and record messages accurately
- Type correspondence, reports, notices, and other recommendations
- Opens mail and distributes to appropriate personnel
- Obtain, gather, and organize pertinent data as needed and put it into usable form, including computer databases
- Maintain a regular filing system, as well as a set of locked confidential file cabinets of student files, and process incoming correspondence as instructed
- Maintains student and staff attendance records, including follow-up with parent/guardian for absent students
- Processes student enrollments and withdrawals
- Orders and maintains supplies as needed
- Performs any bookkeeping tasks associated with the specific position
- Collects and organizes timesheets
- Keeps accurate records (receipts) for petty cash use as well as for fees collected and any other monetary transactions
- Must be able to maintain confidentiality of student records and school business
- Monitors door and security system
- Calls for repairs on the building or equipment when necessary
- Communicate with other school districts to exchange of information
- Prepare reports as requested
- Other duties as requested
