Job Summary : Under general supervision and in accordance with established accounting procedures, performs moderately complex payroll-related duties. Reviews and may enter payroll data; makes corrections and processes data. Researches information and prepares payroll and other reports; analyzes and reconciles payroll data and reports. Processes voided checks or other adjustments. Maintains files and records. May process travel / expense reimbursements and / or wage garnishments, record / remit employee trust funds.

  • Reviews, processes and enters personnel and / or position transactions.
  • Enters payroll transactions / data into Abila MIP Human Resources / Payroll system.
  • Processes third-party requests involving employee pay, such as garnishments, levies, bankruptcies and child support wage assignments.
  • Reviews payroll data for accuracy and completeness. Analyzes discrepancies and resolves problems or rectifies errors.
  • Prepares payroll checks / direct deposits for disbursement.
  • Processes payroll void and adjustment requests.
  • Reviews and / or reconciles payroll records. Identifies errors and makes corrections. Including but not limited to reports regarding retirement, deferred compensation, defined contributions, state health benefits, direct bank deposits or agency-generated reports.
  • Analyzes periodic reports and reconciles contents with agency records. Examples might include certified payroll, health insurance, retirement benefits or related reports.
  • Researches data and prepares reports.
  • Computes, remits, and / or reconciles employee trust fund balances, (employee tax withholdings, garnishments, levies, bankruptcies, child support wage assignments, etc.).
  • Processes employee expense requests such as travel requests, mileage reimbursements, registrations or related items.
  • Maintains payroll file information. Provides records to others as needed. Uses discretion to maintain confidentiality.
  • Performs limited general clerical responsibilities related to payroll functions. Responds to requests for information and assistance. Uses discretion to maintain confidentiality of records.

Required Knowledge & Skills :

  • Knowledge of operating agency specific computer software programs.
  • Knowledge of agency confidentiality policies.
  • Knowledge of agency safety policies and procedures.
  • Knowledge of standard office procedures such as filing, typing, duplicating materials, answering telephones.
  • Knowledge of agency specific data and / or plans.
  • Ability to pay attention to details.
  • Ability to process information in compliance with agency rules, regulations, policies and procedures.
  • Ability to create satisfactory resolution to issues.
  • Ability to prioritize time and resources among primary projects of responsibilities.

  • Required Education & Experience : High school diploma or GED AND One year of experience in responsible bookkeeping or accounting clerical work that includes full-cycle payroll processing.

    Supervisory Responsibilities : None

    Work Environment : This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Some minor travel between Gateway sites is required.

    Physical Demands : The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

    Employee is frequently required to walk, sit, stand or kneel and occasionally required to climb or balance and stoop. Employee must frequently lift and / or move up to 15 pounds. Must have the ability to sit for long periods of time at a computer. Employee frequently uses fine hand / eye coordination, hearing and visual acuity. Lighting and temperature are adequate, and there are not hazardous or unpleasant condition caused by noise, dust, etc. Employee must be able to travel between Gateway sites.
