Position Overview
We are seeking a detail-oriented and compassionate Intake Coordinator to join our team. This role is critical as the first point of contact for prospective clients, ensuring a smooth onboarding process, verifying insurance, and maintaining accurate client records. Additionally, the Intake Coordinator will assist with social media marketing and outreach efforts to help promote our practice and connect with the community.
Responsibilities
- Serve as the primary contact for client inquiries, scheduling, and follow-ups.
- Verify insurance benefits, provide clients with cost estimates, and ensure accuracy in billing records.
- Collect, review, and manage intake paperwork, ensuring timely and complete documentation in the EHR system.
- Maintain accurate and up-to-date client files and ensure compliance with HIPAA regulations.
- Follow up on past-due balances and reconcile client accounts as needed.
- Assist with front-office tasks such as answering phone calls, managing emails, and supporting clinical staff.
- Collaborate with the marketing team to create and post engaging content for social media platforms.
- Assist with marketing outreach to referral sources, community partners, and organizations to promote services.
- Monitor and track social media engagement and outreach efforts.
Qualifications
Required:
- High school diploma or equivalent (associate’s degree preferred).
- At least 1 year of experience in a customer service, or an administrative role in a healthcare setting.
- Proficiency in using electronic health records (EHR) systems (experience with Simple Practice is a plus).
- Strong organizational skills with attention to detail.
Excellent communication skills, both verbal and written.
- Ability to handle sensitive information with confidentiality and professionalism.
Preferred:
- Previous experience in a mental health setting
- Previous experience in social media marketing, content creation, and community outreach.
- Experience verifying insurance benefits and managing billing inquiries.
- Familiarity with mental health services and HIPAA compliance.
- Proficiency with social media platforms (e.g., Facebook, Instagram) and design tools (e.g., Canva).
