Position Summary:
We are seeking a friendly, organized, and professional Administrative Assistant/Receptionist to be the first point of contact for our company. This role plays a vital part in maintaining a welcoming front office environment while providing administrative support across departments to ensure smooth day-to-day operations.
Key Responsibilities:
- Greet and assist visitors, residents, and staff in a courteous and professional manner.
- Answer, screen, and direct incoming calls and emails.
- Maintain front office area to ensure tidy and presentable.
- Schedule appointments and meetings as needed.
- Receive and sort daily mail, deliveries, and packages.
- Provide general administrative and clerical support (e.g., data entry, filing, copying, faxing).
- Assist with document preparation and distribution.
- Maintain office supplies inventory and place orders when necessary.
- Support team projects and perform other duties as assigned
Qualifications:
- High school diploma or equivalent required; associate degree preferred.
- Proven experience as a receptionist, administrative assistant, or in a similar role
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and office equipment
- Professional demeanor and a customer-service mindset
- Ability to handle confidential information with discretion
