Position Summary:
Provide operational support to the Consumer Directed Services Department including claims processing, project management and administrative support.
Essential Job Functions:
- Manage PDMS claims processing for families in both ACS and IHS programs through online portal and excel data systems
- Process and track all Vendor invoicing/payments for PDMS
- Serve as PDMS administrator for case management database, including maintaining records of Service Agreements, Demographic Information, Primary Correspondences, Reports and other related fields as necessary
- Manage electronic documentation files as needed
- Maintain electronic family portal with IT developer and manage site to include registration information, individual documentation, monthly regulations and data collection
- Ensure Customer satisfaction with usability of portal
- Manage the annual Service Agreement process post certification approval tracking
- Assist department staff with written and verbal correspondence as needed
- Manage staff meeting scheduling and notes to support PDMS Director
- Serve as primary trainer/scheduler for the Supports Intensity Scale (SIS) scheduling with teams
- Assist with updates and documentation of various department practices and procedures
- Assist with the continued development of the PDMS policies and procedures manuals.
- Manager tracking of Certifications ensuring all approvals are documented and tracked.
- Provide exemplary customer service to PDMS Department in all aspects of continuing to make PDMS a quality-based customer service option for individuals and families/representative
Other Responsibilities:
- Serve as lead resource for billing reporting and lead contact for business office around claims
- Assignment to Receptionist/Admin replacement coverage for breaks & lunches one day a week and as needed
- Responsible for promoting health & safety within organization as defined by Safety Committee/Company policy
- Promote & work towards meeting agency goals and objectives as defined in the strategic plan
- Compliance with all Gateways Community Services policies and procedures
- Complete all necessary required trainings and continue to attend training
- Work collaboratively with all staff/departments and programs as necessary
- Perform other work related duties as assigned
- PDMS Claims analyst- processes all claims for ACS and IHS ( paper, portal and email)
- Creates and Updates the PDMS Claims/Admin Binder
- Supports all aspects of the Family Support Council meeting: Minutes, documentation preparation, food preparation and all scheduling aspects Treeno scanning
Qualifications, Education and Experience:
- Minimum 2-3 years general administrative, claims processing, and customer services experience
- Detail orientated with strong organizational, telephone and interpersonal skills, good time management and problem - solving skills
- Proficient in Microsoft Windows XP environment including working knowledge of Word, Excel, Outlook along with relational data base knowledge (Microsoft Access and/or Harmony preferred)
- Possess reliable transportation, valid drivers’ license and applicable vehicle insurance for business travel.
