Job Summary
Main purpose of the Job:
We are seeking a highly organized and detail-oriented Body Shop Parts & Materials Associate to oversee the efficient management of parts and materials within our body shop. As the Head Parts & Materials Clerk, you will be responsible for ordering, verifying, and tracking parts, ensuring accuracy in billing, and maintaining proper inventory levels. This role requires strong attention to detail, excellent communication skills, and the ability to work collaboratively with technicians, vendors, and customers to support seamless repair operations.
Key Responsibilities:
- Review estimates to verify correct part numbers and ensure accurate orders.
- Prioritize OEM parts whenever possible and check for price match availability.
- Register parts for scheduled appointments or repair orders.
- Source and order additional parts as needed for body shop repairs.
- Inspect all incoming parts for accuracy and condition before processing.
- Ensure all parts are properly billed to the corresponding repair orders.
- Manage ordering, verification, and billing for aftermarket and multi-brand vehicle parts.
- Promptly process invoices and maintain accurate paperwork for supplies and parts.
- Assist customers via phone by addressing requests or directing them to the appropriate contact.
- Track stock supplies, ensuring they are properly checked in and billed out.
- Cross-check repair orders with estimates to ensure pricing and part accuracy.
- Maintain an organized parts room and ensure repair orders are correctly stored.
- Support additional tasks as needed to ensure smooth operations.
Qualifications & Skills:
- Strong attention to detail and ability to multitask in a fast-paced environment.
- Basic knowledge of auto parts and repair processes preferred.
- Excellent communication and customer service skills.
- Ability to work collaboratively within a team.
- Proficiency in inventory management systems is a plus.
