POSITION SUMMARY :

The Field Services Administrator (FSA) provides administrative support to the Field Services team and collaborates with the Field Services Manager (FSM) on various tasks. As an integral part of the Field Services Team, this role is dedicated to supporting the teams’ day-to-day operations. This position uses their product and company knowledge to guide current Field Service Representatives on their service calls and maintenance visits. This role’s responsibility also includes the assurance of customer satisfaction meeting up to company standards after service request / visits.

SUPERVISION RECEIVED AND EXERCISED :

Directly reports to and is supervised by the Field Services Manager. Does not supervise any other position(s).

DUTIES AND RESPONSIBILITIES :

  • Creates Service Calls for customer visits.
  • Assists Fields Services Reps with opening of Service Calls.
  • Orders parts for Service Calls.
  • Performs follow-ups with customer after a service visit.
  • Develops weekly Service Call assignments lists.
  • Assists FSM in the enforcement of SOPs for SAP, Calendaring, and Reports.
  • Assists FSM in the training of Field Services staff in SAP, Calendaring and Reports.
  • In the absence of the FSM or other Field Supervisor, the FSA will lead weekly zone meetings.
  • Communicates to the FSM all customer feedback and concerns or issues needing attention.
  • Compiles weekly and monthly reports for Management.
  • Compiles future Preventative Maintenance forecasts and strategies with the Field Services Manager.
  • Communicates with customers in notification of preventive maintenance visits.
  • Works in tandem with other field services administrator(s).
  • Performs other duties as assigned.

QUALIFICATIONS / REQUIREMENTS :

  • High School diploma required.
  • Associate’s degree in Business Administration or related field highly preferred.
  • Minimum 3 years’ experience in a technical / customer support role or related experience is acceptable.
  • Exceptional communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage deadlines and people effectively within a fast-paced environment.
  • Ability to deal effectively and calmly with the public, as well as other Company departments and staff.
  • Advanced PC skills in programs such as MS Word, Excel, Power Point and Outlook.
  • Must have the ability to prioritize tasks and be able to work on multiple projects simultaneously.
  • Demonstrate a sense of urgency and strong time management skills (follow through with customers and staff)
  • Must be fluent in English (spoken and written) fluency in Spanish or additional language is preferred.
  • Ability to work independently without supervision.
  • PHYSICAL / MENTAL REQUIREMENTS :

  • Ability to express and exchange ideas and information in both written and verbal formats to convey detailed instructions with accuracy.
  • Ability to communicate (read and write) effectively in a business environment.
  • Ability to follow procedures and instructions.
  • Ability to sit at a desk for long periods to assemble documentation and record data.
  • Ability to walk the facilities to collect necessary data, parts, or tools.
  • Ability to lift, pull, push, and carry objects and supplies (up to 75lbs).
  • While performing the duties of this job, the employee is regularly required to sit and use his / her fingers.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Ability to exercise independent judgment in determining how to conduct assigned tasks.
  • Should possess excellent eye-to-hand coordination and manual dexterity.
  • The employee is interchangeably required to sit, stand, and walk.
