The job of Employee Records Payroll Specialist plays a vital role in supporting the Payroll Coordinators and Human Resources Administration in a variety of aspects. The individual in this role will assist with coordinating ongoing and day-to-day attendance-related projects and tasks, including project planning, scheduling, tracking data, and compliance related tasks. This position will work closely with HR, Finance, and department supervisors to ensure accurate reporting and recordkeeping, as well as collaborate closely with program-based administrative staff to ensure accurate attendance records, policies, and procedures are followed. Adherence to payroll deadlines and high-level confidentiality are also essential functions of this role.
ESSENTIAL FUNCTIONS
Time and Attendance Management:
• Maintain and verify employee time records, including leave balances, absences, and
overtime. Oversee daily attendance reports from all DCIU programs and departments to
ensure timely and accurate reporting.
• Ensure compliance with organizations policies, labor laws, and collective bargaining
agreements related to attendance and leave. Identify, and address discrepancies, and
monitor employee and program compliance on matters such as: Accuracy and timeliness of
attendance submissions and regularly audit employee attendance data and documentation
to ensure accuracy and adherence to established policies and procedures.
Payroll Support:
• Assist in processing payroll by verifying employee hours, leave balances, and adjustments.
Perform data entry of employee attendance records into payroll and HRIS platforms.
• Address employee inquiries regarding payroll and attendance issues.
• Conduct year-end attendance reconciliation by verifying employee timekeeping records,
identifying discrepancies, and coordinating corrections as needed.
• Ensure the year end rollover close out of records are complete and accurate and the
rollover was completed with the IT Manager on time.
Human Resources Records & Compliance:
• Support a variety of Human Resources functions to include supporting the processing of
background checks, overseeing the filing of sensitive employee documents related to onboarding, credentialing, certifications, and change of status payroll notifications.
• Support the HR staff with project-based work.
Other duties as assigned
Education Required: High school diploma or equivalent required; Associate degree or higher preferred, or related work experience in lieu of degree.
Experience Required:
• Excellent verbal communication, problem-solving, and active listening skills.
• Experience in payroll, HRIS platforms, or attendance tracking systems preferred.
• Computer skills proficiency with Microsoft Word, Excel, Outlook, databases, and Internet.
Interpersonal skills: customer service. Ability to communicate effectively and build rapport with staff across multiple programs and departments.
• Excellent time management skills to make optimum decisions under pressure and time constraints.
Other Qualifications: Strong organizational skills and attention to detail are critical.
