Overview: The Administrative and Data Clerk will perform administrative and data entry functions in support of the Transition Assistance Program (TAP) at the Military and Family Readiness (M&FR) office. This role is essential to ensuring compliance with congressionally mandated requirements and providing a seamless service experience to transitioning military personnel. This is a full-time position with a proposed rate of $23/hour.
Key Responsibilities:
Administrative Support:
Perform data entry and maintain accurate electronic records using systems such as Air Force Family Integrated Reporting and Statistical Tracing System (AFFIRST), DoDTAP, and TAPEvents.org.
Scan, upload, and organize electronic documentation for TAP.
Administer and track workshop attendance, ensuring compliance with established guidelines.
Coordinate and document customer interactions, providing detailed summaries as required.
Customer Service:
Act as the first point of contact for service members, installation leadership, and community partners seeking information about TAP.
Schedule service members for various TAP briefings, including pre-separation counseling and training workshops.
Respond to inquiries via phone, email, and in-person with professionalism and accuracy.
Data Management:
Maintain monthly loss roster data and notify service members of requirements in line with regulations.
Ensure the quality and accuracy of data entries and guide staff on correcting discrepancies.
Prepare reports and analyze data to support the program’s effectiveness and efficiency.
Program Coordination:
Assist in maintaining inventory of program materials, marketing items, and equipment.
Review administrative policies and provide recommendations for service delivery improvements.
Facilitate communications between stakeholders, ensuring timely and effective information exchange.
Qualifications:
Education: Associate’s Degree or at least 3 years of experience in a military/government administrative environment.
Experience:
Minimum of one year of experience in data entry or clerical work in an office setting.
At least one year of experience with TAP or in a military environment.
Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Strong organizational and time management skills.
Excellent verbal and written communication abilities.
Security: Must successfully pass a background investigation, including a criminal and financial history check.
Work Environment:
Business casual dress is required.
Compliance with all M&FR safety and security standards.
Participation in emergency drills and adherence to base policies (e.g., cell phone usage, smoking areas).
Hours:
Monday to Friday, 0730-1600, excluding federal holidays.
Physical Requirements:
Must be able to operate standard office equipment, including computers, printers, and fax machines.
Light lifting of office supplies or program materials may be required.
