Overview
Gearhart and Associates is seeking a Client Service Associate who will enhance the client experience by providing exceptional client service, supporting branch functions as needed, assisting in safeguarding client assets, and serving as administrative and operational support to Financial Advisors.

This is a full-time position with an opportunity for up to 8 hours per week of remote work, after an onboarding period and sufficient proficiency in duties.

Position Summary:

This position will be dedicated to learning, understanding and evaluating all operational and client service functions of the firm for the comprehensive completion of day-to-day internal functions. The successful candidate will be responsible for promptly fulfilling client requests, supporting respective Financial Advisors and collaborating with the operations team to provide the highest quality customer service. Other duties will include assistance with paperwork, reports, billing, marketing, client communication touchpoints and various on-site responsibilities.

Essential Functions:

  • Gain a detailed understanding of all core business software platforms, basic industry standards, and operations/client service-related processes and procedures to resolve more complex inquiries
  • Maintain existing client relationships through the processing of client requests, resolving client inquiries, and making sure key client information and documentation is up to date
  • Onboard new client accounts, which includes the collection of required documentation and client information
  • Assist Financial Advisors in day-to-day operations/client service functions
  • Identify time-sensitive items and assess competing priorities
  • Ensure client paperwork and documentation is accurate before submission and processing utilizing broker-dealer service departments and form completion guides
  • Take initative and proactively follow up on submitted items to ensure completion; resolve errors, questions or concerns
  • Prepare various business summary reports and client-specific reporting as needed for review by Financial Advisors
  • Assist in scheduling and participate in annual client reviews and prospective client meetings with the Financial Advisors to build relationships and identify follow-up items
  • Assist in the execution of special projects as needed

General Office Duties:

  • Prepare any/all correspondence to clients and prospects: thank you letters, birthday cards, and other client mass mailings
  • Answer phone and greet daily appointments
  • Maintain organized, client-pleasing personal and communal office spaces
  • Coordinate with Special Events and Purchasing Coordinator on office supply needs
  • Check mail and distribute to appropriate team members
  • Checking/managing voicemail
  • Filing and organization
  • Scheduling wholesaler meetings
  • Check deposits
  • Client Access support

Qualifications:

  • College degree is preferred or 3-5 years of industry experience
  • Cooperative, courteous and patient nature with clients and team members
  • Thorough knowledge of Microsoft applications, Word, Excel, and Outlook
  • Basic knowledge of the financial industry is preferred
  • Previous client service experience is a plus
  • Experience with Customer Relationship Management (CRM) systems is a plus
