NSF’s NOIRLab is the preeminent US national center for ground-based, nighttime optical and infrared astronomy. NOIRLab is a Federally Funded Research and Development Center (FFRDC) which operates as a matrix organization, providing services across a range of programs : Gemini, Rubin, MSO (CTIO and KPNO), and CSDC; with facilities in three geographic locations : Arizona, Chile and Hawai’i. The mission of NOIRLab is to enable breakthrough discoveries in astrophysics by developing and operating state-of-the-art ground-based observatories and providing data products and services for a diverse and inclusive community.
The position supports the Gemini Deputy Director, Associate Director of Development, Chief Scientist, and other Gemini staff by providing a variety of administrative functions. This full-time role requires exercising initiative, independent judgment and discretion while anticipating needs of the Gemini Director. The Administrative Specialist will work closely with other Gemini and NOIRLab staff to support the mission and objectives. This position is based in Tucson, Arizona at the AURA Offices on the University of Arizona campus.
Essential Functions :
- Coordinate executive communications, responding to emails and interfacing with internal staff and external groups.
- Schedule meetings and appointments and manage travel itineraries.
- Serve as the Directorate liaison as needed in meetings, daily activities, and social gatherings.
- Write and / or draft correspondence that articulates the Directorate’s purpose and motive.
- Organize and facilitate Observatory social events.
- Maintains & balances Director’s discretionary fund and AURA management accounts.
- Curate documentation sets in Google drive and Docushare, and physical documents as needed.
- Coordinate Gemini governance meeting logistics, agendas, and documentation.

Salary Range : $73,000-$82,600. The final salary will depend on skills, qualifications and experience.
