Job Title: Shop Administrative Assistant ($24-$26/hour)
Position Overview:
We are seeking a highly organized and proactive Shop Administrative Assistant to support the daily operations of our shop by handling administrative duties, such as work order management, billing, and collections. This role is designed to streamline processes, enhance efficiency, and support key personnel by taking on administrative responsibilities that currently fall under multiple team members. The ideal candidate will be skilled in managing workflows, delegating tasks effectively, and ensuring smooth operations across departments.
Key Responsibilities:
Administrative & Operational Support (Primary Focus)
- Take ownership of shop administrative functions, including work order management, invoicing, and collections.
- Provide support to other Administrative Assistants, allowing them to focus on growing their management skills in adjacent departments.
- Serve as a central point of coordination for administrative tasks related to the shop, ensuring all processes run smoothly.
Task Delegation & Process Improvement
- Identify opportunities to streamline processes and improve workflow across departments.
- Support leadership in offloading administrative burdens, allowing key personnel to focus on strategic responsibilities.
Bookkeeping & Financial Coordination
- Assist with billing and collections to ensure timely payments and financial accuracy.
- Provide light bookkeeping support, including processing invoices and payroll information.
- Work closely with accounting to ensure proper recordkeeping and reporting.
Skills & Qualifications:
- Strong experience in administrative coordination, operations, or shop management support.
- Ability to prioritize tasks, accept delegation effectively, and improve workflow.
- Experience with work order management, billing, and collections is preferred.
- Proficiency in Microsoft Office, Sage 100 Contractor (or similar software), and general administrative tools.
- Excellent organizational, problem-solving, and communication skills.
- Ability to collaborate across teams and ensure smooth operations in a fast-paced environment.
