JOB SUMMARY:
The Executive Assistant will provide high-level administrative/executive support to the GBH CORPORATE CHIEF
EXECUTIVE OFFICER and other corporate staff. The EXECUTIVE ASSISTANT also serves as the CREDENTIALING COORDINATOR, being responsible for all credentialing and privileging of GBH medical staff and AHP. The EXECUTIVE ASSISTANT serves as the primary point of contact for internal and external for staff and visitors. The EXECUTIVE ASSISTANT will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
SUPERVISORY RESPONSIBILITIES:
- May oversee processes.
POSITION QUALIFICATIONS, EDUCATION AND EXPERIENCE:
- Bachelor’s degree in Business Administration or relevant experience required.
- At least two years of related experience/relevant credentialing/privileging experience required; four years preferred. Healthcare experience a plus.
- Certification/Licensure: Certified Provider Credentialing Specialist (CPCS) preferred.
KEY RESPONSIBILITIES/JOB ACCOUNTABILITIES (INCLUDE BUT ARE NOT LIMITED TO):
- Responsible for performing, management and oversight of all GBH facilities credentialing, appointments and privileging of medical staff and AHPs.
o Establish and maintain effective working relationships with management/executive team, Governing Boody and MDEC, contacts outside the organization, medical staff and AHP.
o Process applications for credentialing, appointments and privileging. Compiles and maintains current and accurate data for all providers:
- Completes provider credentialing and recredentialing applications Present completed credentialing/privileging files to the Medical Director for review.
- Present completed credentialing/privileging files to the Medical Executive Committee for review/action.
- Complete Credentialing Summary for each appointment/reappointment for Governing Board review.
- Credentialing/privileging verification organization for primary source verification.
- Maintains copies of current state licenses, DEA certificates, malpractice coverage and any other required credentialing documents for all providers Maintains corporate provider contract files.
- Sets up and maintains provider information in online credentialing databases and system.
- Processes applications for appointment and reappointment of privileges.
- Tracks license, DEA and professional liability expirations for appointed providers.
Maintains appointment files, and information in credentialing database.
- Performs and manages a variety of general office activities and clerical support services, including clerical and administrative tasks, drafting letters, memos, invoices, reports, and other documents for senior staff.
o Schedules meetings, conference calls, interviews.
o Coordinates and schedules events. Coordinate projects handle multiple tasks simultaneously and accurately.
o Edits documents produced by others; may draft documents.
o Researches and gathers data for departmental reports; produces reports/documents.
- Maintain and apply current knowledge of applicable federal and state laws, regulations and accreditation standards.
- Arranges travel and accommodations for executives.
- Performs additional duties as assigned by executives.
- Performs other related duties as assigned.
