Position Overview:
As the Front Desk Receptionist / Administrative Assistant, you’ll play a key role in helping our office run smoothly and creating a welcoming space for clients. You’ll be the first point of contact for individuals seeking support, so a calm, friendly demeanor and strong sense of confidentiality are essential. You’ll also provide critical administrative support to our therapists and administrators.
Responsibilities:
- Greet clients in a warm, professional manner, both in person and over the phone
- Manage client check-in and check-out procedures
- Schedule appointments and maintain therapist calendars
- Handle phone and email inquiries with care and sensitivity
- Verify insurance details and assist with basic billing tasks (training provided)
- Maintain a tidy and calming reception area and office
- Support clinicians with administrative needs and occasional projects
- Routinely clean and disinfect common areas, along with complete some janitorial services.
What We’re Looking For:
- Prior experience in a front desk, medical office, or administrative role is preferred
- A compassionate, client-focused attitude
- Excellent organizational and communication skills
- Comfort with confidentiality, boundaries, and discretion
- Proficiency in basic office software (Google Workspace, EHR systems) are a plus
- Ability to multitask while maintaining a calm and professional demeanor
- Ability to work independently with minimal supervision
